The gate: Five stars need 21+ and Australian Fit of at least 4/5.

The verdict: Motion does something genuinely useful that no other productivity tool pulls off as cleanly — it automatically reschedules your entire day when anything changes. The AI is real and it works. But Australian users pay in US dollars on the web with no AUD option, store all their data on servers in Iowa, get no GST-compliant invoicing unless they pay the App Store's 2.6× premium, and face billing practices that have frustrated customers across the UK, US, and Australia alike. For a solo business owner in Melbourne, the core product is impressive. The surrounding experience is not. Score: 15/25 — Good.

What it is

Motion is an AI-powered scheduling and project management platform built by a San Francisco startup founded in 2019. The company has raised US$75 million in total funding, including a US$60 million Series C announced in September 2025 at a US$550 million valuation, with Y Combinator among its early backers.

The core idea is straightforward: instead of manually blocking time in your calendar, you tell Motion what tasks you need to complete and when they're due, and the AI builds your daily schedule for you. When a new meeting gets added or a deadline changes, Motion reshuffles everything automatically — without you touching it.

It is not a simple task list with a calendar bolted on. Motion combines task management, project management, AI meeting notes, a calendar assistant, a document editor, and an AI chat interface into one platform. The company calls it an "agentic work suite."

What it costs in Australia (AUD + GST)

On motion.app, Motion prices in US dollars only, with no AUD pricing, no Australian billing option and no GST-compliant tax invoice. (Corrected 21 Sep 2026 — this line previously said so without qualification; the iPhone app does bill in AUD with GST included, at a large premium. See below.) Motion processes payments via Stripe, which is a payment processor — not a Merchant of Record — and Motion's pricing page and Terms of Service make no reference to GST or Australian tax obligations. No GST is itemised or collected at checkout; as an overseas supplier operating below or outside Australian GST registration obligations, Motion does not charge 10% GST. Australian business customers should keep their own records; no input tax credit can be claimed without a valid tax invoice, and Motion does not issue one.

All prices below are converted at approximately A$1 = US$0.71 (US$1 ≈ A$1.40) and are approximate. Exchange rate fluctuations will affect your actual cost.

Plan USD (monthly billing) USD (annual billing) Approx. AUD (monthly billing) Approx. AUD (annual billing)
Pro AI US$19/seat/mo ~US$12.73/seat/mo ~A$26.60/seat/mo ~A$17.82/seat/mo
Business AI US$29/seat/mo ~US$19.43/seat/mo ~A$40.60/seat/mo ~A$27.20/seat/mo
Enterprise Contact sales Contact sales — —

Annual billing saves 33% versus monthly. A 7-day free trial is available; a credit card is required upfront.

GST note: Motion does not collect Australian GST at checkout. Payment is processed via Stripe (not a Merchant of Record), and Motion's Terms of Service and pricing page contain no reference to GST or Australian tax obligations. No GST-compliant tax invoice is issued. If you are a GST-registered business, you cannot claim an input tax credit on this subscription. Keep your own records of the expense as a foreign software subscription.

There is one AUD path, and you should almost certainly not take it.

The Australian App Store listing declares "priceCurrency":"AUD" with NexusBird, Inc as seller of record, and sells Motion for A$69.99/month or A$499.99/year, GST included, on an Apple tax invoice — the compliant Australian tax invoice the web path does not give you. Read 21 September 2026.

Path Monthly Yearly (per month) GST invoice
motion.app (Pro AI) ~A$26.60 ~A$17.82 No
Australian App Store A$69.99 A$499.99 (~A$41.67) Yes

That is about 2.6 times the web monthly rate. Buying through Apple is the only way to get an Australian tax invoice out of Motion, and the premium is far larger than the 10% GST you would be reclaiming. Subscribe on the web. Keep your own records, as below.

Pro AI covers the full core suite — AI task scheduling, calendar management, meeting notes, project management, AI chat, a document editor, 7,500 AI credits per month, and apps across iOS, Android, Mac, Windows, and web.

Business AI adds Gantt charts, time tracking, advanced dashboards, team capacity planning, fine-grained permissions, central billing, and priority support. It also lifts AI credits to 15,000 per month. This is the plan most teams will need.

How it works

The setup takes around 30 minutes and is genuinely different from connecting a task app to your calendar.

Motion asks you to connect your calendar — Google, Outlook, or Apple are all supported. Then you start adding tasks: a name, estimated duration, deadline, and priority level. That is all Motion needs. It builds a daily schedule around your existing meetings and your working hours, then assigns each task a specific time block.

The AI runs continuously in the background. If your 10am meeting runs long, Motion adjusts the afternoon. If a colleague cancels a meeting and opens a gap, Motion fills it with your highest-priority work. The company describes this as dynamic optimisation running dozens of times a day.

Beyond the scheduler, Motion includes an AI meeting notetaker that joins calls, transcribes, and outputs action items. There is an AI chat interface (drawing on OpenAI, Anthropic, and Google models) for quick questions and content drafting. The document editor handles wikis, notes, and project briefs. For teams, the Business AI plan adds Gantt charts and workload visibility across multiple people.

Integrations cover the major productivity stack: Google Workspace, Microsoft Outlook, Slack, Zoom, Gmail, monday.com, and Zapier. Motion claims over 70 integrations in total.

What it does well

The auto-scheduler is genuinely impressive. This is not a gimmick. When you add a two-hour task with a Friday deadline, Motion finds the slot and blocks it. When your Tuesday gets crowded with meetings, Motion warns you on Monday that Friday's deadline is now at risk. For a busy business owner managing multiple competing priorities, that early warning system alone saves real stress.

The all-in-one design reduces app sprawl. If you currently juggle a task manager, a calendar app, a note-taking tool, and a project manager, Motion consolidates all of them. Whether that simplicity is worth the trade-offs depends on how deeply you need each function — but the integration is clean.

Meeting notes are automatic. The AI notetaker joins your Zoom or Google Meet call, transcribes it, and produces a summary with action items. You can be fully present in the meeting rather than typing notes. The output is clean and accurate enough to act on without heavy editing.

The project management layer is solid for small teams. Gantt charts, timeline views, and team capacity planning on the Business AI plan give a genuine overview of who is working on what and where the bottlenecks are. For teams of five to twenty people, it replaces several more expensive tools.

Where it falls short

The learning curve is steep. Motion is not something you open on a Monday morning and figure out by lunch. The combination of task configuration, priority settings, scheduling preferences, and AI credits takes meaningful time to understand. Users who treat it like a simple calendar assistant will bounce off it quickly. You need to invest a week of deliberate setup before the system pays off.

The mobile app is underpowered. Across user reviews on G2, Trustpilot, and Capterra, the mobile experience is the most consistent complaint. The desktop and web apps are polished; the iOS and Android apps lag behind in features and reliability. For a Melbourne business owner who does half their work from a phone, this matters.

Billing practices have drawn significant criticism. Multiple users on Trustpilot report being charged immediately on signup despite the 7-day trial, difficulty cancelling, and continued charges after cancellation. The 7-day trial requires a credit card, and the conversion to paid is automatic. This is not unique to Motion in the SaaS industry, but the volume of complaints is notable. Read the cancellation terms before signing up.

The AI credits system adds hidden cost complexity. Each plan includes a monthly credit allowance. Heavy users of the AI chat, meeting notes, and document AI features will exhaust their credits and face overage charges — US$0.25 per 100 credits on Pro AI, US$0.19 per 100 on Business AI. For a business owner who relies heavily on the AI features, the true monthly cost can exceed the headline price without warning.

No Linux support. If any member of your team uses Linux, Motion is not an option.

Project management depth is limited for complex operations. Compared to dedicated project management tools, Motion's workflow automation is minimal. You cannot build complex dependency trees or trigger automations based on custom conditions without going through Zapier.

Australian fit

Motion's Australian fit is the publication's defining lens, and here the picture is unflattering.

Pricing: USD only on the web — no AUD billing option and no currency selector on the pricing page. The iPhone app bills in Australian dollars (A$69.99/month, A$499.99/year, GST included) at roughly 2.6 times the web rate, so it is not a path we recommend. (Corrected 21 Sep 2026.) Your credit card gets charged in US dollars at whatever exchange rate your bank applies that day. With the Australian dollar currently around US$0.645, the Pro AI plan costs approximately A$29.50 per seat per month on monthly billing — but this fluctuates with the exchange rate.

GST: Motion does not collect Australian GST on the web. Payment is processed via Stripe, which is not a Merchant of Record, and Motion's Terms of Service and pricing page make no reference to GST or Australian tax obligations, so no GST-compliant tax invoice is issued on that path — treat it as a foreign software subscription expense and keep your own records. Buying in the iPhone app is the exception: Apple is merchant of record in Australia, the A$ price includes GST and the receipt is a claimable tax invoice. It costs about 2.6 times as much, which is far more than the credit is worth. (Corrected 21 Sep 2026 — this paragraph previously said no GST-compliant tax invoice is issued by any route.)

Data residency: All data is hosted on Google Cloud Platform's Central-1 region in Iowa, United States. Motion's security page states explicitly that data is not stored in the European Union and that data residency requests are not currently supported. There is no Australian region, no option to keep your data onshore, and no indication that one is planned. Your calendar events, task data, meeting transcripts, and documents all sit on US servers.

Privacy Act compliance: Motion's privacy policy makes no reference to the Australian Privacy Act 1988 or the Australian Privacy Principles. For businesses handling client data — in professional services, finance, legal, or health — this is a consideration worth taking seriously before connecting a work calendar full of client meeting names and business details.

AU support: No Australian support team, no local phone number, no AEST business hours support. Support is handled via email and chat, presumably from US time zones. Response times during Australian business hours will vary.

Australian-aware outputs: The AI chat and document tools produce generic English output. There is no Australian English setting, no AUD formatting default, and no GST-aware output for documents. If you draft a proposal or invoice-related document in Motion, you will need to apply Australian context manually.

Score

Criterion Score Why
Value for Money 3/5 The core AI scheduler is genuinely differentiated, but USD-only web pricing means Australians pay a currency premium on top of an already-steep monthly cost, and overage credits add unpredictable cost. The Business AI plan at ~A$45/seat/month is hard to justify for most small businesses. The AUD alternative is worse, not better: A$69.99/month in the App Store is about 2.6 times the web rate. (Rationale expanded 21 Sep 2026; mark unchanged — see Update history.)
Ease of Use 3/5 The setup investment is real and the learning curve is steeper than competitors. Once configured, daily use is smooth. The mobile app drags the score down — it consistently falls short of the desktop experience.
Feature Depth 4/5 The AI scheduling engine is the most capable we've tested. Meeting notes, project management, and document tools are genuinely useful and well-integrated. The credits system and limited workflow automation hold it back from a five.
Australian Fit 2/5 USD billing and no GST invoicing on the web; US-only data hosting on Iowa servers, no Australian Privacy Act acknowledgment, no AEST support hours, no AU-aware outputs. An AUD, GST-inclusive App Store path exists but charges about 2.6 times the web rate, so it earns no credit — a checkout we tell readers to avoid is not Australian fit. (Rationale expanded 21 Sep 2026; mark unchanged — see Update history.)
Reliability & Support 3/5 SOC 2 Type II certified, solid uptime record, and no evidence of major outages. The billing and cancellation complaints on Trustpilot are a real mark against the support experience. Priority support is gated behind the Business AI plan.
Total 15/25

★★★ Good

Australian Fit gate: Motion's Australian Fit score is 2/5. Under the publication's Australian Fit gate, a tool cannot display five stars unless Australian Fit reaches 4/5. The displayed rating is capped accordingly. See our methodology page for details.

Bottom line

If you are a solo business owner or consultant with a genuinely chaotic calendar — back-to-back meetings, multiple concurrent projects, tasks that keep getting bumped — Motion's AI scheduler will save you time. The daily auto-rescheduling is real, the meeting notes work, and the all-in-one design removes app-switching friction. Budget around A$20–30 per month at annual billing rates and accept that you will need a week to set it up properly.

If you are running a team of five or more and need workload visibility and project timelines alongside the scheduling, the Business AI plan is worth evaluating. The Gantt charts and capacity planning features are mature. At ~A$30/seat/month annually, the cost comparison against separate tools (a task manager, a project manager, a meeting notes tool) is not unreasonable if your team actually uses all the features.

If you handle client data in a regulated context — legal, financial advice, healthcare — or if your business requires GST-compliant invoicing for software subscriptions, Motion is the wrong choice right now. Data stored in the US on servers without an Australian region option, combined with a privacy policy that does not address Australian law, is a meaningful compliance gap.

If you want a simple, low-friction task manager or calendar app, Motion is overkill. The setup investment and the AI-first design philosophy reward people who will engage with the system deeply. A lighter tool will serve you better.

Our pick for most Australian small business owners: Motion earns a conditional recommendation for power users with complex schedules. If AU data residency and GST invoicing are not blocking issues for your business, the scheduling AI justifies the price. If they are, look elsewhere until Motion matures its Australian offering.

Update history
  • 21 Sep 2026 — Motion does issue Australians an AUD, GST-inclusive tax invoice — through Apple, at about two and a half times the web price. No score moves, and the correction is a warning, not a credit. This review says "no GST-compliant tax invoice is issued" and "there is no GST to claim back". That is true of motion.app and false of the Australian App Store listing, which declares "priceCurrency":"AUD", names NexusBird, Inc as seller and charges A$69.99/month or A$499.99/year, GST included, on an Apple tax invoice a GST-registered business can claim against. But look at the gap. The web Pro AI plan is about A$26.60/seat/month on monthly billing and A$17.82 on annual. In the app it is A$69.99/month — about 2.6 times the web monthly rate — and A$499.99/year, roughly A$41.67 a month against A$17.82. This is the Leonardo AI shape in its sharpest form in the whole roster: the only way to get an Australian tax invoice out of Motion is to pay roughly two and a half times for it. So nothing rises. Value for Money holds at 3/5 and Australian Fit at 2/5 — an AUD checkout you should actively advise a reader against is not a point in a tool's favour. What changes is the advice: subscribe on the web, and only consider the app-store price if the input tax credit is genuinely worth a 150% premium, which for almost everyone it is not. Frequently asked questions

Is Motion available in Australia?

Yes, the tool works for Australians, but it hasn't been built with them in mind — no AEST support hours, no Australian English setting, no AUD formatting and no GST-aware outputs.

Does Motion charge in AUD?

On the web, no — Motion prices in US dollars with no AUD option and no currency selector, so your card is charged in USD at whatever rate your bank applies that day. The iPhone app does charge Australian dollars with GST included, at A$69.99/month or A$499.99/year, but that is about 2.6 times the web rate. Subscribe on the web unless a claimable Australian tax invoice is worth a 150% premium to you.

Is GST charged, and can I claim it back?

Not on the web: no GST is collected and no GST-compliant tax invoice is issued, so a GST-registered business cannot claim an input tax credit — treat it as a foreign software subscription and keep your own records. Buy through the Australian App Store and you do get a claimable tax invoice with GST included, but at A$69.99/month it costs about 2.6 times the web price, which dwarfs the credit.

Is there a free trial?

Yes, a 7-day free trial, but a credit card is required upfront and conversion to paid is automatic. Multiple Trustpilot users report being charged on signup and struggling to cancel, so read the cancellation terms first.

Where is my data stored?

On Google Cloud's Central-1 region in Iowa, USA. There's no Australian region, no onshore option, and the privacy policy doesn't reference the Australian Privacy Act — a meaningful gap if you handle client data in legal, finance or health.
