The gate: Five stars need 21+ and Australian Fit of at least 4/5.

The verdict: Reclaim AI does one thing most productivity tools promise but don't deliver: it actually defends your calendar for you, automatically rescheduling focus blocks, habits, and tasks around meetings without you lifting a finger. For a time-poor Australian business owner juggling client calls and deep work, that's genuinely useful. The trade-offs are real, though. There's no mobile app, pricing is USD-only with no AUD billing or GST transparency, and all your calendar data sits on AWS servers in the United States. It earns its place as a strong supporting tool — not a category winner. Score: 17/25 — Very Good.

What it is

Reclaim AI is an AI-powered calendar scheduling tool built for professionals and small teams who find their calendars managing them, rather than the other way around. Founded in 2019 by Patrick Lightbody and Henry Shapiro, Reclaim was acquired by Dropbox in August 2024 for approximately US$40 million, bringing a team of around two dozen people into the Dropbox umbrella. The product has continued shipping under its own brand.

The core idea is disarmingly simple: you tell Reclaim what matters — focus time for deep work, a daily habits like exercise or admin, tasks with due dates — and it finds the best slots in your calendar automatically. When something disrupts those blocks (a last-minute meeting, a rescheduled call), Reclaim moves them to the next best available time without you having to manually drag calendar events around.

More than 320,000 people across 43,000 companies use the platform globally. Notable customers include Zapier, GitHub, and PagerDuty — all businesses where calendar coordination across distributed teams is a genuine operational problem.

As of 2026, Reclaim supports Google Calendar and Microsoft Outlook (full Outlook integration launched August 2025), plus integrations with Slack, Zoom, Jira, Asana, ClickUp, Linear, Todoist, and Google Tasks. It also connects to Claude and ChatGPT via MCP, adding AI assistant access as a scheduling layer.

What it costs in Australia (AUD + GST)

Reclaim prices in USD only. There is no AUD billing option, and Reclaim's pricing page, help centre and checkout documentation say nothing about GST treatment for Australian customers. Prices below are converted at approximately ×1.40 (AUD/USD rate as of September 2026). Because billing runs through Stripe, whether 10% GST is added at checkout for Australian accounts comes down to Reclaim's own tax configuration — which it does not disclose. Treat the AUD figures as a conversion estimates, and confirm GST handling with Reclaim support before purchasing if it matters for your business records.

Plan Monthly (USD) Monthly (AUD approx., conversion; GST unconfirmed) Annual per seat (USD) Annual per seat (AUD approx., conversion; GST unconfirmed) Key limits
Lite Free Free Free Free 1 user, 1 calendar sync, 1 scheduling link, 1-week scheduling range, 5 AI agents
Starter US$10/seat ~A$14.00/seat US$8/seat (billed annually) ~A$11.20/seat Up to 10 seats, 8-week scheduling range, 3 calendar syncs, 10 AI agents/seat
Business US$15/seat ~A$21.00/seat US$12/seat (billed annually) ~A$16.80/seat Up to 100 seats, 12-week scheduling range, unlimited syncs, 100 AI agents/seat
Enterprise Contact sales Contact sales Annual only Annual only 100+ seats, SSO, SCIM, org-chart-aware scheduling

A 14-day free trial is available on paid plans. Annual billing saves approximately 20–29% versus monthly. Reclaim periodically offers promotional discounts (up to 30% off) for new users on Starter and Business plans.

Education and non-profit discounts are published on the pricing page. A 20% discount is available for customers switching from competing tools.

Payment processor: Stripe. No mention of accepting AUD directly.

How it works / features

Reclaim centres on what it calls AI agents — background scheduling workers that run continuously. Set one up for a goal, and it handles placement, protection, and rescheduling from that point forward. There are five primary feature pillars:

Focus Time. You tell Reclaim how many hours of deep, uninterrupted work you need each week. The AI agent scans your calendar continuously and inserts focus blocks into the best available slots — typically mornings, before your meeting day fills up. When a conflict arises, it moves the block rather than deleting it. On the Business plan, focus time policies can be set across teams.

Tasks. Connect a task manager (Asana, Jira, ClickUp, Todoist, Linear, Google Tasks) and Reclaim reads your task list, estimates time required, and auto-schedules work sessions before each task's due date. If a meeting displaces a task session, Reclaim reschedules it to the next viable slot. This is the feature most likely to change a small-business owner's day — it turns a to-do list into a calendar without any manual effort.

Habits. Recurring commitments — a daily admin block, a weekly review session, lunch away from the desk — become habits that Reclaim protects at set frequencies. Unlike manual recurring events, habits flex around your schedule rather than colliding with it.

Smart Meetings. For recurring team meetings, Reclaim finds and maintains the best time across all attendees' calendars. When someone goes on leave or priorities shift, it automatically moves the meeting to the next viable slot. It considers time zones, existing focus blocks, and working hours. For a small team spread across, say, Melbourne and a client in Auckland, this removes the "when are you free?" email chain.

Scheduling Links. A personalised booking link that respects all your Reclaim-managed priorities. A contact booking through your link won't accidentally land in the middle of your protected focus time. Think Calendly, but calendar-aware rather than just availability-aware.

Analytics. The Business plan includes dashboards showing how time is actually being spent — meetings, tasks, focus time, habits. This matters for business owners who suspect they're in too many meetings but have never measured it.

What it does well

It actually reschedules things. Every calendar tool promises to "protect your time." Reclaim is one of the few that does it in practice, not just in the sales copy. When a meeting gets added to Tuesday at 10am and that was your focus block, Reclaim moves the focus block to Tuesday at 2pm, or Wednesday morning — without asking. For a business owner who has previously spent Monday mornings manually shuffling calendar blocks, this is a meaningful change.

The task-to-calendar pipeline is genuinely useful. If you work from a task manager (Asana, Jira, Todoist, or any of the supported integrations), Reclaim creates a direct bridge to your calendar. You add a task with a due date; Reclaim finds time in your week to complete it. This is useful in the same way expense management software is useful: it doesn't do anything you couldn't do manually, but it removes enough friction that you actually do it.

Outlook support arrived properly in 2025. Until August 2025, Reclaim was effectively a Google Calendar product. Full Outlook integration now means it's viable for businesses on Microsoft 365 — a substantial portion of Australian small-to-medium businesses. The implementation has some quirks around hashtag placement (see limitations), but the core scheduling logic works across both platforms.

The free tier is a real product. Most "free tiers" in this space are demo modes. Reclaim's Lite plan gives you five AI agents, focus time protection, habits, and buffer time at no cost — enough to trial the core concept meaningfully before committing to a paid plan.

Dropbox backing means it's not going anywhere soon. Acquired products often get shelved. Reclaim is clearly a strategic investment for Dropbox — post-acquisition, they've shipped full Outlook support, Claude and ChatGPT MCP integration, and improved focus time tooling. There's roadmap depth here.

Where it falls short

No mobile app. This is Reclaim's most glaring gap and the most frequently cited complaint from users. There is no native iOS or Android app. You can add Reclaim to your home screen as a Progressive Web App, and your managed calendar events sync to your native calendar — but there's no push notification when your schedule changes, no quick-add for tasks on the go, and no offline access. For a Melbourne business owner who leaves the office at 3pm to pick up kids and wants to check their afternoon schedule, this is a real inconvenience.

USD-only pricing, no GST transparency. Reclaim does not publish AUD prices, does not bill in AUD, and provides no information about GST treatment for Australian customers. The question of whether GST is added at checkout via Stripe is unanswered in all public documentation. If your business needs clean GST invoicing for BAS lodgement, this creates an administrative headache.

Data sits in the US, full stop. Calendar data is hosted on AWS in us-east-1 and us-east-2 regions — both in the United States. There is no Australian or Asia-Pacific data region. For most small businesses, this is an acceptable trade-off. For businesses handling sensitive client information (legal, accounting, healthcare), it is worth noting that your appointment data, client names, and meeting content live on US infrastructure governed by US law.

The Outlook experience is still second-tier in places. Hashtag categorisation — used to classify events in Reclaim — must appear in event titles or descriptions rather than RSVP notes when using Outlook, due to Microsoft API constraints. Minor, but noticeable for Outlook-primary users.

No Apple Calendar support. If your team is on iCloud or uses Apple Calendar as a primary, Reclaim won't work. Google Calendar or Outlook only.

Free tier has been cut back over time. The original free plan allowed three calendars and sixteen habits. The current Lite plan limits users to one calendar and three habits. This is worth knowing if you relied on reviews written before mid-2024.

Analytics require Business plan. The time-tracking dashboards that would help a business owner understand where their week actually goes are locked to the Business plan (~A$16.80/seat annually). The Starter plan at ~A$11.20/seat gives you the scheduling automation without the insight layer.

Australian fit

Reclaim is a US product built for global markets with no specific Australian presence.

AUD billing: Not available. All prices are in USD, billed in USD. Reclaim's public documentation does not say whether GST is automatically applied at checkout via Stripe for Australian accounts, so we can't confirm it either way. Chase confirmation from support before subscribing if you need to claim GST credits.

Data residency: US-only. AWS us-east-1 and us-east-2. No AU region, no Asia-Pacific option. Your calendar data is offshore.

GST handling: Not documented. Reclaim makes no public statement on whether Australian customers are charged GST, and we could not confirm its Stripe tax configuration. Assume you may need to account for it yourself.

Australian support: No AU-based support team. Support is via Intercom chat and email. Given the US time zone, real-time chat responses during Australian business hours are unlikely.

AU-aware outputs: None. Reclaim is calendar infrastructure — it does not generate Australian-specific content or understand AU business context. It is timezone-aware and handles AEST/AEDT correctly.

Privacy and compliance: Reclaim holds SOC 2 Type II certification (renewed 2024), is GDPR-compliant, and participates in the EU-US Data Privacy Framework. There is no specific alignment with Australian Privacy Act 1988 provisions or the Privacy Act reforms in public documentation. This is a gap worth noting for businesses with AU data handling obligations.

The conclusion for most Australian small-business owners is straightforward: the data residency is offshore and there's no AUD billing, but neither of these is a deal-breaker for a small business using it to manage their own calendar. They become more relevant as team size grows or if the business operates in a regulated sector.

Score

Criterion Score Why
Value for Money 4/5 The free tier is genuinely useful. Paid plans at ~A$12–19/seat annually are competitive with alternatives like Motion (US$19/mo, ~A$26.60) for what you get. Points docked for USD-only billing with no GST clarity.
Ease of Use 4/5 Setup takes 15–30 minutes for a solo user. Connect your calendar, create a focus time agent, add a task integration — you're running. The learning curve is steeper for teams configuring shared policies.
Feature Depth 4/5 Tasks, habits, focus time, smart meetings, scheduling links, and analytics cover the full stack of calendar management. Outlook support arrived in 2025. The missing mobile app holds this to a 4.
Australian Fit 2/5 US data hosting, USD-only billing, no GST documentation, no AU support presence, no AU data region. The product works fine in Australia but makes no accommodation for it.
Reliability & Support 3/5 SOC 2 Type II certified, backed by Dropbox infrastructure. Reclaim uses polling-based calendar sync rather than push, so independent reviewers and user reviews flag minutes-long sync lag — a recurring, if minor, complaint. Support runs on US hours, which means AU business owners are largely self-serving via help docs.
Total 17/25

★★★★ Very Good (17/25)

Australian Fit gate note: Australian Fit scores 2/5. Per The AI Directory's methodology, a tool cannot receive five stars unless Australian Fit is 4/5 or higher. The 17/25 raw score falls into the four-star band in any case, so no cap applies here.

Bottom line

If you are a solo operator or small team on Google Calendar or Outlook who spends any meaningful time manually protecting time for deep work, Reclaim AI's free tier is worth installing this afternoon. You'll know within a week whether the automated rescheduling changes your day.

If you are on the Business plan and managing a team of five or more, the Smart Meetings and team analytics features start earning their subscription cost (~A$16.80/seat annually). It removes a category of scheduling overhead that otherwise falls to whoever organises the team calendar.

If you need AUD invoices, clean GST records for your BAS, or Australian data residency, Reclaim's current offering does not address any of these. Keep it on your shortlist but check whether the billing situation has changed before subscribing.

If you work primarily from your phone, skip Reclaim until a native mobile app ships. The PWA workaround is not a substitute.

The alternative worth comparing: Motion (US$19/mo, ~A$26.60) includes a native mobile app and more aggressive AI task scheduling but at nearly double the annual cost. Reclaim wins on value; Motion wins on mobile. Neither is a perfect fit for the Australian market.

Update history
  • 21 Sep 2026 — Motion's comparison price re-cut off the retired 1.55 basis: ~A$29.50 → ~A$26.60. US$19 × 1.4045 is A$26.69; A$29.50 is that figure at 1.553. The review quoted Motion at two different Australian prices — A$29.50 inside the Value-for-Money row of the score table and A$26.60 in the "alternative worth comparing" paragraph below it. Both now read A$26.60. No Reclaim figure moved and no score moved: Value for Money stays 4/5, and the argument it makes — that Reclaim's ~A$12–19/seat is competitive against Motion — is unchanged in direction, though the gap it rests on is A$3 narrower than the table claimed. Basis USD→AUD 1.4045 (ECB reference rate, 18 September 2026), ex-GST per our GST rule. Superseded figure kept visible per our price-history rule; reviewed: untouched per our dating rule.
  • 21 Sep 2026 — No first-party Reclaim AI app on the Australian App Store. Nothing published under reclaim.ai or dropbox.com. The nearest name match, Reclaim: Sell with AI (Reclaim Stuff Inc.), is an unrelated resale app. USD pricing stands unqualified. Searched Apple's own Australian storefront endpoint (itunes.apple.com/search?country=au&entity=software) and matched each result on its declared sellerUrl rather than its publisher name — the method that resolved Msty (CloudStack, LLC → msty.ai) and Bluedot (Twiso Inc. → bluedothq.com) the same day, both of which the 21 September pass had recorded as untraceable. Checked 21 September 2026 by the app-store apply pass, Audits/app-store-apply-2026-09-21.md. Re-check if the vendor announces a mobile app.
  • 20 Jun 2026 — First reviewed.
  • 24 Sep 2026 — The AUD column was never grossed up for GST, and every word around it said it was. The header read “gross-up; GST unconfirmed” and the note beneath described a 10% uplift — while the figures themselves are plain conversions at 1.4045. Checked before changing a word: across the 63 files carrying this wording, 141 rows convert at 1.4045 and none at 1.4045 × 1.10. No figure changed here; only the description of them did. Two things were wrong beyond the arithmetic: gross-up names a tax uplift and was being used for a currency conversion, and GST unconfirmed is stale — our GST rule settled it on 5 September 2026, and a GST-registered Australian business supplying its ABN is not charged GST on an imported digital service. No USD price moved and no score changed. reviewed: untouched per our dating rule.

Frequently asked questions

Is Reclaim AI available in Australia?

Yes. Reclaim works in Australia and is timezone-aware, handling AEST/AEDT correctly. It supports Google Calendar and Microsoft Outlook (no Apple Calendar). But it's a US product with no AU presence and no native mobile app.

Does Reclaim AI charge in AUD?

No. Pricing is USD only with no AUD billing — Starter is about A$11.20/seat and Business about A$16.80/seat annually at the ~1.40 rate. Reclaim doesn't document GST treatment via Stripe, so confirm with support if you need clean GST records for your BAS.

Is there a free plan?

Yes, a genuinely useful one. The Lite plan gives five AI agents, focus time protection, habits and buffer time at no cost — enough to trial the core concept. Paid plans add a 14-day free trial. Note the free tier was cut back over time (now one calendar, three habits).

Where is my calendar data stored?

On AWS in the US (us-east-1 and us-east-2), with no Australian or Asia-Pacific region. For most small businesses that's an acceptable trade-off; for legal, accounting or healthcare data, note your appointment data and client names live on US infrastructure.

Is there a Reclaim AI mobile app?

No — this is its most glaring gap. There's no native iOS or Android app, only a Progressive Web App workaround with no push notifications or offline access. If you work mainly from your phone, skip Reclaim until a native app ships.
