The gate: Five stars need 21+ and Australian Fit of at least 4/5.

Verdict (TL;DR): Zapier is the easiest no-code automation tool to get live and connects more apps than anything else (9,000+), with a genuinely deep, multi-model AI layer on top. But it bills in USD (entry tier ~A$28/mo + GST, climbing steeply with task volume), meters per task — which is a real budget trap on high-frequency, multi-step workflows — and hosts your data in AWS US with no self-host and no AU region. Buy it if you run on Xero and/or HubSpot, want the widest app coverage, and your volumes are low-to-moderate or high-value-per-run. Skip it if you need onshore data residency, predictable cost at scale, or a native MYOB connection — look at n8n (self-host) or Power Automate (Azure AU) instead.
Zapier is the tool most Australian operators reach for first when they want to connect two apps and stop copying data by hand. It earns that reflex: nothing else connects as many apps, and nothing else gets a first automation live as quickly. But "easiest to start" and "right for your business" are different questions — and for an Australian buyer, three things deserve scrutiny before you put a card down: it bills in USD, it stores your data in the United States, and it charges per task, which is the single easiest way to blow an automation budget.
This review is verdict-first: if you run on Xero and/or HubSpot, want the broadest possible app coverage, and your automations are either low-volume or high-value-per-run, Zapier is an easy recommendation. If you need data to stay onshore, want predictable cost at high volume, or run on MYOB, it is the wrong tool and we'll point you at better-fitting alternatives.
What it is and who owns it
Zapier is a no-code automation platform. You build "Zaps" — automated workflows where a trigger in one app ("new invoice in Xero") fires one or more actions in others ("create a HubSpot deal, then post to Slack"). The pitch is that you wire your software stack together without writing code, and increasingly, that you let AI build and run those workflows for you.
It is the category's incumbent and, by app count, its giant: Zapier states it connects 9,000+ apps with 66,000+ triggers and actions (vendor-stated counts that shift over time).
Pricing in AUD (and the metering trap)
Here is the first thing an Australian buyer needs to know: Zapier prices and bills in USD. There is no AUD price list, no AU-localised plan, and no AUD support tier on its primary pages. You pay the US figure on your card with your bank's FX conversion on top.
The tiers, as published [zapier.com/pricing]:
- Free — US$0. 100 tasks/month, two-step (single-action) Zaps only, unlimited Zaps/Tables/Forms, and Zapier Copilot with daily limits. Enough to trial and run one or two trivial automations; the 100-task ceiling and two-step limit make it a demo, not a production tier.
- Professional — from US$19.99/mo billed annually (about A$28/mo + GST at ~1.40). This is the entry price; it scales up as you select more monthly tasks.
- Team — US$69/mo billed annually for 25 users (about A$97/mo + GST).
- Enterprise — custom pricing; adds unlimited users, annual task pooling, VPC peering and a technical account manager.
On top of the core plans sit AI add-ons: an Agents add-on (Free tier = 400 activities/mo; Pro US$33.33/mo, ~A$47 + GST) and a Chatbots add-on (Free = 2 chatbots; Pro/Advanced US$13.33 / US$66.67 per mo, ~A$19 / ~A$93 + GST). All AUD figures here are our conversions at ~1.40 and exclude GST — they are not Zapier-published prices.
Now the part that catches people out. Zapier meters per task. A task is counted, in Zapier's words, "every time a Zap successfully moves data or completes an action." The nuances matter:
- Triggers don't count. Filter and data-check steps don't count. And Zapier's built-in tools used directly in a Zap — Tables, Forms, Formatter, Filter, Path, Delay, Looping, Storage — don't consume tasks. That's a genuine plus and softens the cost.
- But every successful action step burns a task. A five-action Zap that runs 1,000 times is 5,000 tasks, not 1,000. High-frequency, multi-step automations escalate fast.
- MCP tool calls cost 2 tasks each (more on MCP below).
- You pre-select a task tier (from 100 up to 2 million) and pay for that block whether you use it or not; overruns push you to the next tier.
That model is the most exposed to runaway cost of any major tool. Competitors that meter per "operation" — or that offer effectively unlimited executions when self-hosted, like n8n — won't punish a chatty, multi-step workflow the same way. The practical advice: before you commit, estimate (actions per Zap) × (runs per month) for your busiest automations, not just the number of Zaps. That number, not the headline price, decides your bill.
On GST and ABN: Zapier is registered under Australia's Simplified GST system and charges GST on Australian sales; if you're GST-registered you can add your ABN so GST isn't charged. But simplified-GST vendors aren't required to issue a full ATO-style tax invoice — the buyer self-accounts — so don't assume a standard ABN tax invoice for input-tax-credit purposes.
Ease of use
This is where Zapier is the clear benchmark. It is genuinely no-code, and the editor walks you through trigger and action setup app by app. The standout is Zapier Copilot, which builds a working Zap from a plain-English sentence — describe what you want ("when a form is submitted, add the person to HubSpot and email me"), and it assembles the steps. For a non-technical operator, this is the shortest path from idea to live automation of any tool we've assessed.
This category is more technical than, say, an AI note-taker, and complex multi-path Zaps still demand care — you do need to understand triggers, filters and field mapping. But the floor is low: a first useful automation in an afternoon is realistic, with no developer involved. We score Ease of Use 5/5.
Features and AI capability
Two things drive the 5/5 for Feature Depth: catalogue breadth and a mature native AI layer.
The breadth is the 9,000+ apps already covered. The AI layer is more than a bolt-on:
- Copilot builds Zaps from prompts (above).
- AI Agents — autonomous assistants that qualify leads, route tickets or run background jobs (Agents add-on; Free = 400 activities/mo).
- AI by Zapier / AI steps — drop an AI action into any Zap to summarise, classify or extract.
- Chatbots — build a customer-facing or internal chatbot (add-on).
- Zapier MCP — exposes those 9,000+ apps and 66,000+ triggers/actions to external AI assistants through one governed connection. (Remember: MCP tool calls cost 2 tasks each.)
Crucially, model access is provider-agnostic — "your models, your way." You can select Anthropic Claude, OpenAI's ChatGPT/GPT, or Google Gemini [zapier.com/ai]. Enterprise customers get automatic opt-out of having their data used to train models; on lower tiers you must request that opt-out manually — worth doing on day one.
In plain terms: Zapier isn't just connecting apps any more. It can read a new support email, decide whether it's a refund request, draft a reply, and log it in your CRM — with you choosing which AI model does the reasoning.
Australian fit — the part that decides it
For an automation tool, Australian Fit turns on three hard tests: can your data stay onshore, can you pay and account for it properly, and does it connect the Australian SMB stack? This is the category's editorial moat, and it's where Zapier scores 2/5 — scored strictly.
Data residency — the deal-breaker for some. Zapier's own security page is explicit: "Zapier is hosted on Amazon Web Services (AWS) in the United States" [zapier.com/security-compliance]. Customer data, and data processed on your behalf, sit in US AWS. There is no self-host or on-premise option, and no Australian or Azure-AU region — none is offered. A limited EU data-residency capability exists at the enterprise edge, but per Zapier's own material it does not provide strict EU-only storage; there is no AU equivalent at all. If your business has a contractual, regulatory or client-driven requirement to keep data onshore, Zapier cannot meet it. Full stop.
The security baseline is otherwise strong and confirmed on the primary page: SOC 2 Type II, SOC 3, GDPR and CCPA alignment, AES-256 at rest, TLS 1.2+ in transit, and certification under the EU-US / UK / Swiss-US Data Privacy Framework. Two gaps worth knowing: Zapier itself is not ISO 27001-certified (that applies to its infrastructure providers), and it does not support HIPAA or sign BAAs on any plan — so it's off-limits for health information.
AUD billing and tax invoice. USD-only pricing; GST is charged under Simplified GST and an ABN can be added, but there's no full ATO tax invoice. Confirm with Zapier if input-tax-credit certainty matters.
The AU stack. Partial, and the gap is specific:
- Xero — yes. Native integration [zapier.com/apps/xero].
- HubSpot — yes. First-class and heavily featured.
- MYOB — no. Zapier's own MYOB app page states MYOB has not built a Zapier integration, so there are no native MYOB triggers or actions — only webhook/API workarounds [zapier.com/apps/myob/integrations]. For the many Australian SMBs on MYOB rather than Xero, that's a genuine gap.
So the AU picture: broadest catalogue on earth and solid Xero/HubSpot coverage, dragged down hard by US-only data, USD billing, no native MYOB, and a per-task model that's easy to overspend in AUD. Strict 2/5 is fair.
Reliability and support
Zapier publishes a 99.9% uptime SLA, carries SOC 2 Type II / SOC 3, and offers audit logs plus Premier and TAM (technical account manager) support at the top end. As a mature incumbent, it's dependable. The catch — consistent with the rest of the platform — is that the best controls (VPC peering, automatic AI opt-out, SSO/SCIM, IP allowlisting) are largely Enterprise-gated behind custom pricing. We score Reliability & Support 4/5.
Limitations
- The per-task budget trap. Every successful action counts, MCP calls cost 2 tasks each, and high-frequency multi-step Zaps escalate cost quickly. Model your busiest workflows before committing.
- USD-only billing, with GST and ABN tax-invoice handling unconfirmed on primary pages.
- No onshore data residency — AWS US by default, no self-host, no AU/Azure-AU region.
- No native MYOB integration.
- EU data residency is limited and Enterprise-gated; AU has no equivalent at all.
- Best-in-class security controls are largely Enterprise-only.
- Free and Professional tiers cap features and tasks tightly (two-step Zaps on Free).
How it scores
| Criterion | Score | Why |
|---|---|---|
| Value for Money | 3/5 | Entry ~A$28/mo + GST in USD, climbing steeply with task volume — a real budget trap on high-frequency workflows |
| Ease of Use | 5/5 | The easiest no-code automation to get live, with the gentlest on-ramp in the category |
| Feature Depth | 5/5 | Connects more apps than anything else (9,000+), with a deep multi-model AI layer on top |
| Australian Fit | 2/5 | US data hosting, USD billing with no AUD option, and no native MYOB integration |
| Reliability & Support | 4/5 | SOC 2 Type II/SOC 3, GDPR/CCPA, AES-256 and TLS 1.2; not ISO 27001-certified itself, and no HIPAA |
| Total | 19/25 | ⭐⭐⭐⭐ Very Good |
Verdict
Zapier wins on the things it's famous for: the widest app catalogue in automation, the easiest no-code on-ramp, and a deep, multi-model AI layer that now does real reasoning, not just plumbing. For an Australian SMB or operator running on Xero and/or HubSpot, comfortable with USD billing and US-hosted data, and with low-to-moderate task volumes or high-value-per-run workflows, it's the obvious first pick — and the free tier lets you prove it cheaply.
It is not the pick if you need data to stay onshore, want predictable cost on very high-volume workflows, or run on MYOB. For onshore/self-hosted data and unmetered executions, look at n8n (self-host). For Azure AU regions and tight Microsoft 365 integration, look at Microsoft Power Automate.
Our overall score: 19/25 — a tool that's exceptional on capability and ease, held back, for an Australian buyer specifically, by data residency, USD billing and a cost model you have to actively manage.

Frequently asked questions
Is Zapier available in Australia?
Yes. It's a web platform usable anywhere and the tool most Australian operators reach for first. But your data is hosted in US AWS with no Australian region and no self-host option.
Does Zapier charge in AUD?
No. Zapier prices and bills in USD — entry Professional is from US$19.99/mo (~A$28/mo + GST at ~1.40). You pay the US figure with your bank's FX on top. Zapier is registered under Australia's Simplified GST system and charges GST; GST-registered businesses can add an ABN.
Is there a free plan?
Yes. The Free tier gives 100 tasks/month and two-step (single-action) Zaps only. It's enough to trial and run one or two trivial automations, but the caps make it a demo rather than a production tier.
Why does the per-task pricing catch people out?
Zapier meters per task — every successful action step burns one, so a five-action Zap running 1,000 times is 5,000 tasks (MCP calls cost 2 each). Estimate actions per Zap times runs per month for your busiest workflows before committing; that number decides your bill.
Does Zapier connect to Xero and MYOB?
Xero yes (native), HubSpot yes (first-class). MYOB no — MYOB hasn't built a Zapier integration, so there are no native triggers or actions, only webhook workarounds. For MYOB-based businesses, that's a genuine gap.
