Grain Review Australia 2026: Is the Video-Clip Notetaker Worth It Down Under?
- From
- A$21/mo per user · ex-GST · billed in USD
The gate: Five stars need 21+ and Australian Fit of at least 4/5.
Skip to the verdictPricing figures updated 6 September 2026: USD prices are converted at the current rate (1 USD ≈ 1.40 AUD, verified 5 September 2026) and shown ex-GST, replacing the retired 1.55 + GST basis. A GST-registered Australian business that supplies its ABN is not charged GST on an imported digital service; other buyers should allow ~10% on top (Methodology).
Verdict (TL;DR): Grain is a sharp AI notetaker with one genuine party trick — it turns any moment of a recorded meeting into a shareable video clip in about 15 seconds. That makes it a strong pick for sales and customer-facing teams who live off call snippets. But it bills only in US dollars, hosts every recording on AWS servers in the United States, and has no Australian data-residency option. For a Sydney founder that's a fine trade. For a law firm or an accountant handling client calls, it's a dealbreaker.

What Grain is
Grain is an AI meeting notetaker. It joins your Zoom, Google Meet or Microsoft Teams calls — or transcribes your computer's audio without a bot in the room — and produces a transcript, an AI summary, and a list of action items for every meeting. So far, so familiar: that's table stakes in this category now.
What sets Grain apart is video. Most notetakers give you text. Grain lets you grab any line of the transcript and turn it into a clean, captioned video clip you can drop into Slack, a CRM record, or an email. Those clips can be organised into playlists and "stories" — say, a reel of customer objections, or a highlight tape for onboarding a new rep.
Grain positions itself squarely at growing sales and customer teams, not solo note-takers. The pricing and feature set reflect that. If you just want a tidy summary of your internal stand-up, Grain is more tool than you need.
What it costs in Australia
Grain is billed in US dollars only. There is no AUD billing and no local invoicing entity, so your card issuer sets the conversion and you'll likely see a foreign-transaction fee on top. GST treatment depends on whether Grain has registered for Australian GST on digital services — we could not confirm this from a primary source, so treat the ex-GST figures below as indicative.
| Plan | Price (USD) | Approx AUD (ex-GST) | What you get |
|---|---|---|---|
| Free | US$0 | A$0 | Unlimited meetings capped at 45 minutes each, 30-day history, AI notes and action items, unlimited free "viewer" seats |
| Starter | US$15/seat/mo annual · US$19 monthly | ~A$21 · ~A$27/seat/mo | Unlimited meetings, custom AI notes, custom prompts and templates, video clips |
| Business | US$29/seat/mo annual · US$39 monthly | ~A$41 · ~A$55/seat/mo | Everything in Starter plus AI coaching, AI follow-up emails, team interaction insights, deeper CRM sync |
| Enterprise | Custom (contact sales) | Custom | SSO/SAML, advanced security and support |
Source basis: every figure is from Grain's official pricing page, re-read in a browser on 29 September 2026 (Business was unpublished when this review first ran, so it carried no figure until then). The Enterprise tier is custom and sales-only. AUD conversions use US$1 ≈ A$1.4045 (ECB reference rate, September 2026) and are rounded; we could not confirm Grain's Australian GST treatment from a primary source, so treat the AUD column as an indicative conversion, not a quoted ex-GST price. Grain offers a 14-day free trial of paid features and advertises a 30-day money-back guarantee.
One useful quirk: you pay per Paid seat (someone who records and uploads meetings), while viewer seats are free and unlimited. A small business where two people run client calls and ten people watch the clips pays for two seats, not twelve. That's genuinely fair pricing for the video use case.
How it works in practice
Setup takes about five minutes. You connect your calendar and your video-conferencing account, and Grain either sends a bot to scheduled meetings or captures your local audio directly. Transcripts arrive in clean Markdown and Grain supports transcription in 100-plus languages, which matters if your AU business runs multilingual client calls.
After a call you get a summary and action items, optionally pushed straight to your inbox or Slack. The clip-making is the bit that earns its keep: highlight a passage, click, and you have a captioned video in seconds. For a sales manager who wants to show a teammate exactly how a prospect phrased an objection, that's faster and more convincing than pasting a quote.
The AI coaching and "deal board" features on the Business tier lean hard into sales-team workflows — tracking which topics came up across deals, flagging talk-time, syncing to HubSpot or Salesforce. If you're not running a sales motion, you'll never touch them.
What it does well
- Video clips are best-in-class. Turning a transcript moment into a shareable, captioned clip in ~15 seconds is genuinely useful and few rivals do it as cleanly.
- Fair seat model. Free unlimited viewer seats mean you only pay for the handful of people who actually record. A two-recorder team isn't subsidising ten watchers.
- Fast, low-friction setup. Connect calendar and Zoom/Meet/Teams and you're capturing meetings within minutes, with or without a bot in the room.
- Strong CRM integration on Business. HubSpot and Salesforce sync, plus topic trackers, make it a credible sales-enablement tool, not just a notetaker.
- Clean transcripts in 100+ languages. Markdown output is tidy and easy to repurpose.
What it doesn't do well
- No Australian data residency — full stop. Grain hosts all software and recordings on AWS in the USA. Every client call you record leaves the country. For Legal, Finance, HR or health use, that's a compliance conversation you don't want to have.
- USD-only billing. No AUD pricing, no local invoicing, and a likely foreign-transaction fee on every charge. GST treatment is unconfirmed.
- It's built for sales, not solo operators. If you just want meeting notes, you're paying for coaching and deal-board features you'll never open. Granola or Otter is a better fit for that.
- The free plan is capped where it hurts. Meetings are unlimited, but each stops recording at 45 minutes and history only lasts 30 days — fine for short stand-ups, not for client calls you need to keep.
- No AU-based support. Grain’s own Contact Support page advertises email (help@grain.com), a sales-demo booking form and a 10,000-member Slack community — no phone line, no published support hours, and no advertised Australian-hours or AU success contact. Its help centre runs on Intercom, so an in-app messenger exists; it just isn’t offered as a support channel anywhere Grain publishes.
Australian fit
This is where Grain stumbles, and it's the criterion we weight most heavily. Grain is SOC 2 Type II certified, encrypts data in transit and at rest, and runs annual third-party penetration testing — all solid. But the data lives on AWS in the United States, with no option to keep Australian recordings onshore. For a marketing agency or a startup, that's an acceptable risk. For anyone in a regulated category — accountants, lawyers, HR, healthcare — recording client conversations to US servers is a genuine problem under Australian privacy expectations.
Add USD-only billing, unconfirmed GST handling, and a support desk that publishes no hours for any region, and Grain reads as a capable global tool that hasn't thought about Australia specifically. It works here; it just wasn't built with us in mind.
Australian Fit: 2/5. Good security credentials, but US hosting with no residency option, USD billing, and no local support hold it back hard.
Alternatives
- Otter — stronger for pure note-taking and live transcription, cheaper entry point, but weaker video and also US-hosted.
- Fireflies — closest direct rival on CRM sync and conversation intelligence; compare seat pricing carefully.
- Granola — the better choice if you want clean AI notes for internal meetings without the sales-team overhead.
Bottom line
Grain is a very good tool aimed at a specific job: helping customer-facing teams capture, clip and share what was actually said on a call. If you run a sales or success team and you live off call snippets, the video features alone can justify the spend, and the free-viewer-seat model keeps costs honest.
But for a Melbourne business owner handling sensitive client calls — or anyone in Legal, Finance, HR or health — the US-only data hosting is the headline, not a footnote. There's no Australian residency option, the billing is in US dollars, and support runs on American hours. Use Grain if your meetings aren't sensitive and you value the video clips. If data location matters to you, look elsewhere first.

Source · captureDossiers/captures/grain-pricing-2026-09-29.txt - 21 Sep 2026 — support-channel flag RESOLVED, with the wording corrected. Earlier today a full-corpus citation check found the support article behind this review’s pricing/seat structure and its “email-only US support” line (
support.grain.com/en/articles/9253233-how-does-grain-s-pricing-work) returning HTTP 404, and a second Grain support article tried as a replacement (.../4742812-how-can-i-contact-grain-support) dead as well — Grain’s help centre was restructured, not just one page moved. The pricing/seat claims were repointed tograin.com/pricingin that pass; the support claim was flagged as unsourced, with a third-party summary mentioning live chat raising the possibility it was also wrong. Re-checked properly against Grain’s own pages: the claim was right in substance and overstated in wording.grain.com/contact— titled Contact Support — advertises email (help@grain.com, hello@grain.com), a sales-demo booking form and a Slack community of 10,000+ users. It offers no live chat, no phone number, no support hours and no regional coverage of any kind. So “email is the only support channel Grain advertises” holds. “Email-only” did not, on two counts: the Slack community is a second (peer) channel Grain points customers at, and Grain’s help centre runs on Intercom, whose in-app messenger is a live-chat path even though Grain never offers it as one — which is almost certainly what the third-party summary was describing. The “US” half was an inference too: Grain is a US company, but it publishes no support hours or regions at all, which is a fairer criticism than naming a timezone it never claimed. The score note, the Australian-fit bullet and the FAQ line have been reworded to say exactly that. Reliability & Support stays at 3/5 — the reasoning behind it is unchanged and, if anything, better evidenced. Flagged toaid-score-synconly so the reworded note propagates. - 20 Jun 2026 — First reviewed.
- 24 Sep 2026 — The AUD column was never grossed up for GST, and every word around it said it was. The header read “gross-up; GST unconfirmed” and the note beneath described a 10% uplift — while the figures themselves are plain conversions at 1.4045. Checked before changing a word: across the 63 files carrying this wording, 141 rows convert at 1.4045 and none at 1.4045 × 1.10. No figure changed here; only the description of them did. Two things were wrong beyond the arithmetic: gross-up names a tax uplift and was being used for a currency conversion, and GST unconfirmed is stale — our GST rule settled it on 5 September 2026, and a GST-registered Australian business supplying its ABN is not charged GST on an imported digital service. No USD price moved and no score changed.

Frequently asked questions
Is Grain available in Australia?
Yes — it joins your Zoom, Google Meet or Teams calls and works fine from Australia. But it wasn't built with Australia in mind: no local data residency, USD billing, and no support hours published for any region, let alone ours.
Does Grain charge in AUD?
No. Grain bills in US dollars only, with no AUD billing or local invoicing entity, so your card issuer sets the conversion and you'll likely see a foreign-transaction fee. We couldn't confirm its Australian GST treatment from a primary source.
Is there a free plan?
Yes. The free plan now allows unlimited meetings, but each is capped at 45 minutes and history lasts 30 days. There's also a 14-day trial of paid features and a 30-day money-back guarantee. Viewer seats are free and unlimited; you only pay per recording seat.
Where is my data stored?
On AWS servers in the United States, with no Australian data-residency option. Grain is SOC 2 Type II certified and encrypts data in transit and at rest, but every recording leaves the country.
Should I use Grain for sensitive client calls?
No. For anyone in Legal, Finance, HR or health, the US-only hosting is a dealbreaker — that's a compliance conversation you don't want. Grain suits sales and customer teams whose meetings aren't sensitive and who value the video clips.
