Pricing figures updated 6 September 2026: USD prices are converted at the current rate (1 USD ≈ 1.40 AUD, verified 5 September 2026) and shown ex-GST, replacing the retired 1.55 + GST basis. A GST-registered Australian business that supplies its ABN is not charged GST on an imported digital service; other buyers should allow ~10% on top (Methodology).

Verdict (TL;DR): Circleback is a Y Combinator-backed AI meeting notetaker that earns consistent praise for transcription accuracy and note quality — and it backs that with a post-meeting automation engine that connects to over 1,000 apps (via Zapier and Make) and native CRM integrations with HubSpot and Salesforce. It works for Zoom, Google Meet, Teams, Slack huddles, and in-person meetings via mobile. The catch is price: there is now a free plan, but the paid plans run US$15–$18/user/month for Pro and US$25–$29 for Business, meaningfully more than Fireflies Pro or Otter AI. No AUD billing, no confirmed Australian data residency, and the pricing is higher than the category average.

What Circleback is

Circleback is an AI meeting notetaker built by Circleback AI, Inc., backed by Y Combinator and launched in 2024. It records and transcribes meetings across Zoom, Google Meet, Microsoft Teams, and Slack huddles, and also supports in-person meeting recording via an iOS and Android mobile app.

The headline differentiator is note quality. Circleback specifically targets transcription accuracy for technical terms and accents — including non-American English — and auto-identifies speakers by name without manual configuration. Over 100 languages are supported.

Post-meeting, the automation layer is the second differentiator: Circleback connects directly to HubSpot, Salesforce, Attio, Zoho, Linear, Notion, Monday.com, and Slack, plus 1,000+ additional apps via Zapier and Make. This means meeting outcomes — action items, deal updates, task creation — can flow automatically into your existing tools without copy-pasting.

The product also includes cross-meeting AI search ("What did we agree on with Supplier X?"), video and audio playback of recordings, and inline commenting for team collaboration.

What it costs in Australia

Circleback is priced in USD and billed monthly or annually. No AUD billing option. GST treatment should be confirmed at checkout.

Conversions below use USD × 1.40 (indicative rate, September 2026). Figures are ex-GST: a GST-registered business that supplies its ABN is not charged GST on an imported digital service; other buyers add ~10%. These are approximations — confirm at circleback.ai/pricing.

Plan USD/user/month AUD equiv. (approx.) Key inclusions
Free $0 $0 AI notes and action items, limited automations, 30-day meeting and recording history, mobile and in-person recording
Pro (annual) $15 ~$21 Unlimited meeting history, 1 year of recording storage, automations with all integrations, custom AI insights. $18 a month on monthly billing (~A$25)
Business (annual) $25 ~$35 Everything in Pro + admin and member roles, unlimited free viewers, custom data retention, 2 years of recording storage. $29 a month on monthly billing (~A$41)
Enterprise (annual only) $35 ~$49 SSO and SCIM, invoice billing, unlimited recording storage, priority support, HIPAA; volume discounts apply automatically

Plans and prices re-read in a browser on 30 September 2026. The June version of this review had two paid plans, Individual (US$20.83) and Team (US$25), and no free plan.

The practical maths: For a solo operator, the Free plan is now a real way to test it, and Pro at ~AUD $21/month (annual) is workable, though still dearer than Fireflies Pro. For a team of 10 on Business (annual), that's ~AUD $4,200/year before GST. That is a significant outlay for a small business that could cover the same core functionality with Fireflies at roughly half the cost.

Where Circleback earns the premium: if you rely heavily on post-meeting workflow automation and need reliable transcription accuracy, the extra cost may be justified.

How it works in practice

You connect your calendar (Google or Outlook), and Circleback joins your meetings as a bot — or you use the mobile app to record in-person conversations. After the meeting, it delivers structured notes, automatically assigned action items (with the right person's name attached), a full transcript with speaker identification, and video/audio playback.

The automation builder is where Circleback stands out from simpler notetakers. After a sales call, it can automatically create a HubSpot deal update, post a summary to Slack, and create a Linear task for the follow-up — without you touching any of those tools. You define the workflow once; it runs after every qualifying meeting.

The AI search works across your full meeting history and, on Team plans, across your team's shared meetings. Ask a question in natural language and it surfaces relevant excerpts with meeting context.

Custom insights let you define specific things to track across calls — competitor mentions, pricing objections, feature requests — similar to keyword tracking in Gong or Fellow.

What it does well

  • Transcription accuracy is genuinely strong. Circleback specifically targets technical terms and accent variation. For Australian accents and business jargon, this matters.
  • Speaker identification is automatic. No need to manually label who said what — the system learns from calendar data and previous meetings.
  • Post-meeting automation engine. Native integrations with HubSpot, Salesforce, Attio, Zoho, Linear, Notion, and 1,000+ via Zapier/Make. Set-and-forget workflows for CRM updates and task creation.
  • Works in-person via mobile. iOS and Android apps let you record face-to-face meetings, workshops, or phone calls through your phone.
  • Slack huddles support on the Team plan — one of very few notetakers that captures Slack voice/video calls.
  • SOC 2, GDPR, HIPAA, EU-US DPF certified — listed on the home page badges (security.circleback.ai for full details).
  • Video and audio playback available for reviewing specific moments.
  • No data used for AI model training — confirmed on the FAQ ("Is my data used to train AI models?").
  • 100+ languages supported.

What it doesn't do well

  • Price is the main objection. At US$15–$18 a month for Pro and US$25–$29 for Business, Circleback is among the most expensive mainstream notetakers in this comparison. Fireflies Pro at $10/month does 80% of what Circleback does for half the price.
  • The free plan is limited. A permanent Free plan now exists (added since June), but it keeps only 30 days of meeting history and limits automations — the reason to buy Circleback.
  • No AUD billing. USD only.
  • No confirmed Australian data residency. Circleback AI, Inc. is a US company. Security certifications are listed but no Australian server region is stated. (contact Circleback for data residency details)
  • Bot-in-meeting model. Unlike Fellow or Supernormal, Circleback has used a visible meeting bot for online calls; a bot-free desktop app is now offered as an alternative. For client-facing meetings where a bot feels intrusive, this is a consideration.
  • Business plan has a per-seat cost. At US$25/user/month (annual), a team of 15 costs ~AUD $525/month before GST.

Australian fit

Billing: USD only. No GST line item confirmed at checkout. Australian businesses may need to self-assess GST on imported digital services — confirm with your accountant.

Data residency: Circleback AI, Inc. is a US company. Security certifications (SOC 2, HIPAA, GDPR, EU-US DPF) are listed on the home page, and a full security page is at security.circleback.ai. No Australian data residency is stated. A Data Processing Agreement is available at circleback.ai/dpa. (contact Circleback for specific server region and AU data handling)

Recording consent: Circleback uses a meeting bot that joins your call as a visible participant (for online meetings). Under Australian law (Telecommunications (Interception and Access) Act 1979 and state surveillance device acts), all parties to a conversation generally need to consent to recording. A visible bot makes consent easier to establish — participants can see it and leave if they object — but you remain legally responsible for obtaining consent. For in-person recording via the mobile app, consent requirements also apply. This is not legal advice.

Support: US-based company. Support is via support.circleback.ai. No AU phone or AU-based team stated.

GST: Not confirmed at checkout. (confirm at circleback.ai/pricing)

Alternatives

If the automation layer is what appeals, but the price is the obstacle, Fireflies.ai offers comparable integrations at roughly half the cost. For teams that want strong privacy controls alongside good note-taking, Fellow is more defensible in regulated sectors. If you need a CRM-forward tool with coaching features, Avoma competes directly with Circleback at a similar price point.

Bottom line

Circleback is a polished, accurate meeting notetaker with a genuinely useful post-meeting automation layer. If you spend a lot of time after calls updating CRMs, creating tasks, and posting Slack summaries, the automation alone could justify the price. But at US$15–$29/user/month for the paid plans, it's among the most expensive options in the mainstream notetaker category, and most Australian small businesses will get 80% of the value from Fireflies at half the price. It earns its premium for automation-heavy users and sales teams. Everyone else should start with something cheaper and upgrade if the automation layer proves its worth.

Score

Criterion Score Notes
Value for Money 2/5 Among the most expensive mainstream notetakers; hard to justify for SMBs vs. cheaper rivals. A free plan and a cheaper Pro entry (US$15) arrived after June; held at 2/5 and flagged for the next full re-review.
Ease of Use 4/5 Fast setup, automatic speaker ID, clean interface, mobile in-person recording
Feature Depth 4/5 Automation engine, custom insights, 1,000+ integrations, Slack huddles — genuinely deep
Australian Fit 2/5 USD only, no confirmed AU data residency, no AU support team
Reliability & Support 3/5 SOC 2, HIPAA, GDPR, DPF certified; YC-backed; no AU support presence

Update history
  • 30 Sep 2026 — re-verified by browser; the plans have been rebuilt, and two AUD sums were on the retired 1.55 basis. circleback.ai/pricing on an Australian connection now lists Free ($0: notes, action items, limited automations, 30-day history), Pro $15 a user a month billed yearly or $18 monthly, Business $25 yearly or $29 monthly, and Enterprise $35 a user a month, yearly only, with automatic volume discounts. The review had Individual at US$20.83 and Team at US$25 (both annual), Enterprise custom, and said there was no permanent free plan. The page also now offers a bot-free desktop app for online meetings. Bare $, no A$. Table, verdict, weaknesses, bottom line, meta and the pricing FAQ (body and schema) rewritten; the team-of-10 and team-of-15 sums (A$4,650 a year, A$585 a month) were US$ × 1.55 and are now A$4,200 and A$525. Feature placement below the pricing section (Slack huddles, cross-team search) was not re-read and keeps the June plan names. Score held at 15/25: the two things Value for Money was docked for, no free tier and the highest price in the field, have both eased, so that cell is flagged for the next full re-review. aud_native: false already set.
