Verdict (TL;DR): Karbon is the practice-management platform we'd put at the top of the shortlist for an Australian accounting, tax or bookkeeping firm that has outgrown a shared inbox and a wall of spreadsheets. It pulls email, workflow, client records, documents, billing and time into one collaborative system — and its AI layer, included free on every paid plan, genuinely saves time on summarising threads, drafting replies and suggesting who should own what. The Australian fit is unusually strong for a US-headquartered vendor: native AUD pricing via the currency toggle, a real Australian team, deep Xero-ecosystem integration, and SOC 2 Type II. The honest caveats: it is a practice-operations tool, not tax-calculation or lodgement software, so it does not replace your tax engine or your professional judgement; the headline "AI Agents" are still early-access and should not drive a buying decision yet; and there is no explicit Australian data residency and no IRAP. At A$59–A$109 per user per month ex-GST it is mid-market rather than cheap — but for a growing practice that lives in its inbox, it earns its keep in recovered hours. A clear recommend, scored on what ships today.

Finance caveat (read this first): Karbon is practice-management software — it organises how your firm works. It is not tax-calculation, BAS or lodgement software, and it does not give tax, accounting or financial advice. Nothing Karbon's AI drafts or summarises is a substitute for the judgement of a registered tax agent or qualified accountant. Treat its outputs as a starting draft to review, never as a final answer. For Legal, Finance and HR tools, this publication always says the same thing: verify before you rely.
Who this is for (and who it isn't)
Karbon is for you if you run or work in an accounting, tax or bookkeeping practice — small, mid-sized or large — and the way work moves through your firm has become the bottleneck. If client emails get lost, nobody is sure who owns a job, deadlines slip, and your "system" is a shared inbox plus a spreadsheet plus a folder of folders, Karbon is built to fix exactly that.
Karbon is not for you if you are a sole trader who just needs to do your own books (you want accounting software like Xero or QuickBooks, not practice management), or if you are shopping for a tool that calculates and lodges tax (Karbon sits alongside that software, it does not replace it). It is also not a general AI assistant — if you want something to draft marketing copy or answer ad-hoc questions, that is a different category.
With that settled: for the firm Karbon is built for, it is one of the strongest options on the market. Here is what it does, what the AI actually delivers, and where the Australian caveats sit.
What Karbon is
Karbon is cloud practice-management software for accounting firms, built by Karbon, Inc. The company is headquartered in San Francisco but was co-founded in 2014 by Stuart McLeod — an Australian — and it has kept a genuine Australian and New Zealand footprint ever since, with team members based across the US, Australia, New Zealand, Canada and the UK (Karbon — About). That matters for the reader of this site: this is not a US tool with no idea Australia exists. Karbon says 33,000 accounting professionals use it daily across customers in 34 countries, and it ranks #1 in its category on G2.
What you actually get is one system that replaces several. Integrated email brings your team's client correspondence into the platform, where you can triage, assign and comment on emails together — the feature that gets firms off "forward this to whoever's free." Workflow lets you build jobs from templates, schedule them, set statuses and watch everything on dashboards. Client management gives you shared contact profiles, activity timelines and automated client requests, plus a client portal for document sharing and tasks. Around that sit document management, eSignatures, billing and payments, and time tracking and budgets, with reporting over the top and a broad set of integrations (Xero, Gusto, Stanford Tax and more) plus a public API (Karbon — Pricing; Karbon — Integrations).
The pitch is simple: stop swivelling between six tools and run the firm from one. Karbon claims the average firm using it saves 18.5 hours per employee per week. Treat that as a marketing figure, not a guarantee — but the underlying idea, that consolidating email and workflow removes real friction, is sound.
What it costs in Australia
Good news for Australian buyers: Karbon's pricing page has a currency selector that includes AUD (along with NZD, GBP, CAD, EUR and others), and from an Australian IP it already defaults to AUD. The prices below are the vendor's own Australian figures, read off that page — not conversions. The page states plainly that all prices exclude GST.
| Plan | AUD per user/month, billed annually | Billed monthly | What you get |
|---|---|---|---|
| Team | A$59 | A$79 | Integrated email, team collaboration, workflow and to-do lists, time tracking and budget reporting, billing, payments, engagements |
| Business | A$89 | A$109 | Everything in Team, plus automatic client reminders, task automation and industry integrations |
| Enterprise | Custom | Custom | Everything in Team and Business, plus the Enterprise platform, a dedicated Karbon contact, customisation and unlimited usage limits |
Read on karbonhq.com/pricing in a browser from an Australian IP on 21 September 2026, with the currency selector on its AUD default. These are Karbon's own AUD prices, not conversions, so there is no exchange rate to cite. Prices are per user per month and annual billing is meaningfully cheaper than monthly. The page states "All prices exclude GST" — a GST-registered practice supplying a valid ABN is generally not charged GST on an imported digital service; otherwise allow around 10% on top, and check your first tax invoice carries an ABN for your BAS. Wayback: capture pending (archive.org unavailable 21 Sep 2026).
Value verdict: Karbon is not the cheapest practice tool, and for a small firm the per-seat cost adds up — a three-person practice on Team is A$177 a month ex-GST. But the comparison that matters is not against a spreadsheet; it is against the hours your team loses to a messy inbox and unclear ownership. For a firm of five or more that genuinely lives in email, Team or Business pays for itself quickly. The two real watch-outs are per-seat scaling (every new hire is another full seat) and the jump to Business if you want task automation and client reminders, which are the features that unlock most of the time savings.
Karbon AI: what's genuinely AI, and what's still a promise
This is where we have to be precise, because "AI" is doing a lot of work in Karbon's marketing — and the honest answer is that some of it ships today and some of it does not.
What ships today (Karbon AI). Karbon has a working suite of AI features, included on paid plans at no extra cost, on by default, and switch-off-able by an administrator (Karbon — AI). The useful ones are genuinely useful for a busy practice: email and work-conversation summaries that compress a long thread into a few lines; compose and refine for drafting client emails with control over tone, length and language; quick replies; client summary, which pulls emails, notes, work and billing into a single brief; create email from tasks; and smart suggestions that recommend who should be assigned based on prior work. There is also AI-flagged time-tracking correction. None of this is groundbreaking on its own, but because it runs on your firm's real data — your clients, jobs, billing and history — the suggestions are grounded rather than generic, which is the actual point. For junior staff drafting client emails, firms report it builds confidence quickly.
What is still early (Karbon AI Agents). The more ambitious story — autonomous AI Agents styled as a Bookkeeper, Practice Manager, Tax Preparer, Client Relationship Manager and Fractional CFO that take on data entry, follow-ups, onboarding and tax-prep workflows — is marked "Early Access" on Karbon's own page (Karbon — AI Agents). Karbon has not published a firm general-availability date, so we treat the agents as a roadmap, not a shipped product. Karbon says you stay in control — you configure what each agent can do, what needs approval, and what stays human. Sensible design. But do not buy Karbon today for the agents. Buy it for the platform and the assistive AI that already works, and treat the agents as upside if and when they arrive and prove out.
On the engine and the data question: Karbon AI runs on the Azure OpenAI Service, and Karbon states your firm's data stays within Karbon, is kept in-region, is not shared externally, and is not used to train AI models (Karbon — AI). For a profession holding sensitive client financial data, that "no training, stays in-region" posture is the reassurance that matters most — though note the only region Karbon names is the UK ("UK data remains in the UK"), and Australian data residency is not spelled out (more on that below).
What it does well
- One system instead of six. Email, workflow, clients, documents, billing and time in a single collaborative platform. The consolidation is the product, and it removes real friction.
- Email triage built for teams. Assigning, commenting on and sharing emails inside the workflow is the feature firms say changes how they operate day to day.
- AI that's included and grounded. Summaries, drafting and smart suggestions come free on paid plans and draw on your firm's actual data, so they are more useful than a standalone chatbot. Admins can switch it off.
- Genuinely good Australian fit for a US vendor. Native AUD pricing that defaults on for Australian visitors, an Australian team presence, and tight integration with the Xero-led stack most AU firms already run.
- Credible security. SOC 2 Type II (annual AICPA audit), AES-256 encryption at rest, TLS in transit, Microsoft Defender for Storage malware scanning, and stated 24/7 operational support (Karbon — Security).
- Built for the industry. This is software designed around how accounting firms actually work — engagements, work types, recurring jobs, client requests — not a generic project tool bent to fit.
What it doesn't do well
- It is not a tax engine. Karbon manages the work; it does not calculate or lodge tax. You still need your tax/accounting software alongside it. Buying Karbon expecting it to "do the tax" is the wrong purchase.
- The AI Agents are not here yet. The most exciting part of the pitch is early-access, with no published general-availability date. Do not let the agents tip a buying decision until they ship and prove out.
- No explicit Australian data residency, no IRAP. Karbon states data stays "in-region," but the only region it names on its own pages is the UK ("UK data remains in the UK"); Australia and APAC are not named, and there is no IRAP assessment or AU-specific certification advertised. For firms with strict data-sovereignty requirements, ask Karbon directly where AU data lives.
- ISO 27001 is implemented, not certified. Karbon has an ISO 27001-aligned information-security management system but states it has not yet been independently certified (Karbon — Security). SOC 2 Type II is the certification you can lean on today.
- Per-seat cost scales with headcount. Every team member is a full seat. For a growing firm that is a real, recurring line item, and the most valuable automation lives on the dearer Business plan.
- GST stated only as an exclusion. The pricing page says prices exclude GST but does not spell out the treatment for Australian accounts — confirm on your first invoice.
Australian fit
- Available in Australia: Yes — fully available, with an Australian team and AU customers. (karbonhq.com/about)
- Pricing in AUD: Yes — and the currency selector already defaults to AUD for an Australian visitor. Team A$59, Business A$89 per user per month on annual billing (verified 21 Sep 2026). (karbonhq.com/pricing)
- GST: The page states all prices exclude GST but does not set out the Australian treatment. A GST-registered practice supplying a valid ABN is generally not charged GST on an imported digital service; otherwise allow ~10%. Confirm on your first tax invoice and check it carries an ABN for your BAS.
- Data residency: "In-region" storage stated, but the UK is the only region Karbon names ("UK data remains in the UK"); Australian data residency not explicitly named — confirm with Karbon if sovereignty matters to your firm. Hosted on Microsoft Azure infrastructure. (karbonhq.com/feature/ai; karbonhq.com/security)
- Compliance: SOC 2 Type II (annual AICPA audit); ISO 27001 ISMS implemented but not independently certified; GDPR self-assessment. No IRAP, no AU-specific certification advertised. (karbonhq.com/security)
- AI data handling: Karbon AI data stays within Karbon, in-region, is not shared externally and is not used to train models. Admins can disable AI. (karbonhq.com/feature/ai)
- Local AU support: Stated 24/7 operational support, Help Centre, The Loft community and a status page; Enterprise adds a dedicated contact. No AU-specific phone line advertised, but the vendor has Australian-based staff. (karbonhq.com/security)
Tax Practitioners Board guidance (final, 22 July 2026). If a registered tax or BAS agent runs Karbon's AI features on your file, the TPB's Guidance Statement TPB(GS) 55/2026 applies to the agent, not the software: they stay accountable for the accuracy of every output, must exercise their own judgement rather than rely on the AI, and must not put your information into an AI model without your permission and a clear answer on where the data is stored. Nothing here changes those obligations — and none of it replaces advice from a registered practitioner. Our explainer of the guidance.
Alternatives
| App | Why you might prefer it |
|---|---|
| FYI Docs | Document-management-led practice software with deep roots in the Australian and New Zealand market and tight Xero integration. Strong if document automation is your main pain point. |
| Xero Practice Manager (XPM) | If your firm is all-in on Xero, XPM lives inside that ecosystem with job and WIP management. Often the default for AU firms already on Xero — lighter on collaborative email than Karbon. |
| Ignition | Built around proposals, engagement letters and automated billing. Pairs well alongside a practice tool rather than replacing one — strong for firms whose pain is sales and getting paid. |
Bottom line
For a growing Australian accounting, tax or bookkeeping practice, Karbon is an easy shortlist-topper and, for many firms, the right answer. It does the unglamorous but decisive job of getting your team out of a chaotic shared inbox and into one system where work, email and clients all live together — and its free, built-in AI takes real minutes off summarising threads and drafting replies every day. The Australian fit is better than almost any US-built competitor: AUD pricing that defaults on, an Australian team, Xero-ecosystem integration and SOC 2 Type II.
It scores 19 rather than higher for three honest reasons. The marquee AI Agents are still early-access, so today you are buying the platform and the assistive AI, not the autonomous agents. There is no explicit Australian data residency and no IRAP, which will matter to firms with strict sovereignty needs. And the per-seat pricing is a real cost for a small firm. None of those is a dealbreaker for the typical growing practice — but each is worth knowing before you sign.
If you run a firm of five or more and email is your bottleneck, book the demo and ask two pointed questions: where does our data physically live, and which of the AI Agents is actually available today. We would expect to refresh this review inside six months — the AI Agents roadmap is the thing most likely to change, and we will flag any material movement in the monitor.
Score
| Criterion | Score | Notes |
|---|---|---|
| Value for Money | 4/5 | A$59–A$109 per user per month ex-GST in native AUD — mid-market, not expensive, and a three-person Team practice lands at A$177/mo. The AI is included at no extra cost on every paid plan. Loses a mark because the headline AI Agents are still early-access rather than billable value today |
| Ease of Use | 4/5 | Purpose-built for how firms work; real onboarding effort to set up templates and workflows, but intuitive once configured. Academy and live training available |
| Feature Depth | 4/5 | Deep, coherent practice-management suite — email, workflow, clients, docs, billing, time, reporting, API — plus a working assistive-AI layer; the agentic roadmap is promising but early-access, so we score what ships today |
| Australian Fit | 4/5 | Native AUD pricing that defaults on for Australian visitors (A$59–A$89/user/mo, verified 21 Sep 2026), Australian team, Xero-ecosystem integration and SOC 2 Type II; held back by no explicit AU data residency, no IRAP, and a GST position stated only as an exclusion |
| Reliability & Support | 4/5 | SOC 2 Type II, AES-256/TLS, Defender malware scanning, stated 24/7 ops support, public status page; ISO 27001 implemented but not independently certified |
| Total | 19/25 | ⭐⭐⭐⭐ Very Good |
Update history
- 21 Sep 2026 — Correction: we told Australian readers Karbon costs about A$83–A$138 per user per month. It costs A$59–A$109. The review was right that Karbon offers native AUD, but it then priced the tool off a conversion anyway — exactly what our AUD pricing rule forbids — and the conversion ran about 40% high. Read in a browser from an Australian IP on 21 September 2026,
karbonhq.com/pricingdefaults its currency selector to AUD (the review said it defaults to USD) and shows Team A$59 per user per month paid annually, or A$79 paid monthly; Business A$89 annually, or A$109 monthly, with "All prices exclude GST" stated on the page. The review carried US$59 / US$89 with ≈A$83 / ≈A$125 estimates at 1.40 beside them, and a Business monthly figure of US$99 that is now A$109. Old figures kept visible per our price-history rule. The estimates are gone; the vendor's own AUD prices now stand alone, and the FX note for this tool has been removed. Value for Money 3/5 → 4/5 and total 19/25 → 20/25: the sole stated reason for the 3 was the price being "not cheap for a small firm" at A$83–138, and a three-person Team practice is A$177 a month, not the "A$270+" this review calculated. Australian Fit stays 4/5 — it already credited the AUD pricing, and the data-residency and IRAP gaps are unchanged. Band unchanged at ⭐⭐⭐⭐ Very Good. Frequently asked questions
Is Karbon available in Australia?
Yes — fully available, with an Australian team presence and AU customers. It was co-founded by an Australian and keeps a genuine Australia/New Zealand footprint, so this isn't a US tool with no idea Australia exists.
Does Karbon charge in AUD?
Yes — and it defaults to AUD for Australian visitors. Team is A$59 per user per month on annual billing, Business A$89 (A$79 and A$109 billed monthly), verified 21 September 2026. The page says prices exclude GST without setting out the Australian treatment, so check your first invoice carries an ABN for your BAS.
Is there a free plan or free trial?
The review doesn't confirm a free plan or trial. Plans run Team (A$59/user/mo), Business (A$89/user/mo) and Enterprise (custom) on annual billing, ex-GST, verified 21 September 2026.
Does Karbon replace my tax software?
No. Karbon is practice-management software — it organises how your firm works. It is not tax-calculation, BAS or lodgement software, and sits alongside your tax engine, not in place of it.
Are Karbon's AI Agents available now?
No. The assistive AI (summaries, drafting, smart suggestions) is included free on paid plans and works today. The headline autonomous "AI Agents" are still Early Access with no published general-availability date — don't let them tip a buying decision yet.
