AI Meeting Notetakers

Otter.ai vs Granola for Australians 2026 — the workhorse or the calm one?

By Adam · 30 Jun 2026 · 10 min read
Head-to-head verdict

Our pick: Granola. The verdict below says who should buy the other.

Pricing figures updated 6 September 2026: USD prices are converted at the current rate (1 USD ≈ 1.40 AUD, verified 5 September 2026) and shown ex-GST, replacing the retired 1.55 + GST basis. A GST-registered Australian business that supplies its ABN is not charged GST on an imported digital service; other buyers should allow ~10% on top (Methodology).

Editor's note: Every pricing, feature and data-residency claim below is carried from our full Otter.ai review (18/25 — corrected from 17/25 on 21 September 2026) and Granola review (18/25), each sourced from the vendor's own pricing and security pages. Prices re-checked against both vendors' pricing pages on 30 June 2026. AUD figures use our standard rate of US$1 ≈ A$1.40, with 10% GST flagged where it applies. Otter scores Australian Fit 3/5 and Granola 2/5 — both below the 4/5 our methodology requires, so neither can be named a category Top Pick. (Otter corrected from 2/5 on 21 September 2026: its Australian App Store listing bills Pro in AUD with GST included.) See the verdict.

Two notetakers, two philosophies. Otter.ai walks into your meeting. A bot joins the Zoom, a banner appears, and the transcript scrolls live for everyone. Granola does the opposite. No bot joins, nothing announces itself, and the notes arrive after the call.

That single design choice drives everything else. Otter is the mature transcription workhorse — a real free tier, live captions, speaker labels, a decade of polish. Granola is the newer, calmer option — it listens to your laptop's own audio, writes a sharper summary, then deletes the recording.

So the question for an Australian professional is not "which is better software?" Both are good. It's "which trade-off suits you?" Breadth and a free plan, or a cleaner, quieter workflow. Here's the honest head-to-head.

TL;DR

  • For a free plan — Otter wins. Its Basic tier gives 300 transcription minutes a month. Granola's free tier writes full notes but caps history at 30 days.
  • For live captions and a searchable transcript — Otter wins. It transcribes in real time with speaker labels and keeps the audio.
  • For summary quality and a calm workflow — Granola wins. No bot, no banner; you type shorthand and it writes clean notes.
  • For privacy — Granola wins. It stores no audio at all, shrinking the breach surface.
  • For price — line-ball. Otter Pro is about A$11.66/user/month ex-GST on annual billing; Granola is about A$20/user/month before GST, monthly only.
  • For Australian fit — a tie, and not a good one. Both are USD-only, US-hosted, with no onshore data region and no confirmed ABN tax invoice.
  • For overall score — they are level at 18/25 (⭐⭐⭐⭐ Very Good) since Otter's 21 September 2026 correction. Granola still wins on ease of use; Otter now wins the billing question outright.

For the typical Australian buyer — a solo operator or small team on a laptop, taking their own calls — Granola is our pick. It's easier, calmer and stores no audio. Choose Otter if you need a genuinely free tier, live captions, or a kept transcript you can search later.

Pricing in AUD

Neither vendor prices in Australian dollars. Both quote USD only, so expect a foreign-transaction fee (commonly 2–3%) plus whatever the exchange rate does on the day. The AUD figures below are our own estimates at roughly 1.40 — not prices either vendor quotes.

Plan Otter.ai (USD) Otter.ai (~AUD) Granola (USD) Granola (~AUD)
Free US$0 A$0 US$0 A$0
Entry paid, annual Pro US$8.33/user/mo ~A$11.66 ex-GST No annual option —
Entry paid, monthly Pro US$16.99/user/mo ~A$23.79 ex-GST Business US$14/user/mo ~A$20 ex-GST
Team / business Business US$19.99/user/mo (annual, min 5 seats) ~A$27.99 ex-GST (Business covers teams) —
Top tier Enterprise — custom — Enterprise US$35/user/mo ~A$49 ex-GST

Three things matter here beyond the headline numbers.

Otter is cheaper if you commit annually. Pro at US$8.33/user/month on annual billing works out to roughly A$11.66/user/month ex-GST — the lowest paid entry point in this pair. Granola has no annual billing and no annual discount, so its Business plan sits at about A$20/month before GST whether you like it or not.

Granola's free tier is the better product; Otter's is the more generous cap. Granola's free plan writes full AI notes but only keeps the last 30 days of history. Otter's free plan keeps your notes but caps you at 300 transcription minutes a month, with a 30-minute limit per conversation. Heavy meeting users hit both walls fast.

GST is unresolved for both. Neither vendor shows evidence of an ABN-bearing Australian tax invoice or itemised GST at checkout. For a registered Australian business, that makes claiming a GST credit on the spend harder than with a local supplier. If clean tax invoices matter to your bookkeeping, confirm the treatment with each vendor before you subscribe.

The core difference: bot versus no bot

This is the whole comparison in one line. Otter records by putting a visible bot on your call. Granola records nothing that anyone can see — it listens to your laptop's own audio.

That shapes the daily feel of each tool.

Otter gives you a live, searchable transcript. The words scroll in real time as people talk, labelled by speaker. After the call you get a summary, action items, and an AI chat you can query. The audio is kept, so you can go back and listen to exactly what was said. For anyone who wants a durable record — a paralegal, a journalist, a researcher — that kept transcript is the feature.

Granola gives you a clean summary and a calm room. You type rough shorthand during the call; Granola fills the gaps from a live transcript it then discards. No bot to admit, no "please let X record" awkwardness, no audio file to worry about later. It's the easiest tool in the category to live with — our review scored its ease of use a clean 5/5. But it won't hand you a full verbatim transcript to search, and its speaker separation is shallower than Otter's.

So: Otter is the record-keeper. Granola is the note-taker. If you need to prove what was said, Otter. If you need a fast, tidy recap and a quiet workflow, Granola.

Feature diff

Capability Otter.ai Granola
Live captions during the call Yes No — notes after
Full searchable transcript Yes, kept Transcript used then audio deleted
Speaker identification Good Limited
AI summary + action items Yes Yes — sharper, template-driven
AI chat over your meetings Yes Yes — across your whole history
Custom templates Limited Yes
CRM / tool integrations Some HubSpot, Notion, Slack, Affinity, Zapier (paid)
Auto-join scheduled calls Yes — bot joins from calendar No — you open the app
Android app Yes No
Stores no audio (privacy) No Yes

Otter wins on breadth: live captions, kept transcripts, strong speaker ID, an auto-joining bot, and an Android app Granola simply doesn't have. If your team runs Android phones, Granola is out before the conversation starts.

Granola wins on output quality and workflow: sharper summaries, custom templates, a genuinely useful cross-meeting AI chat, and paid integrations that push notes straight into HubSpot — the CRM of record for a lot of Australian consultancies. Its feature set is narrower on purpose, which is why our review scored its feature depth 3/5 against Otter's 4/5. Narrow, but cleaner.

This is where The AI Directory does its real work — and where both tools land in the same disappointing place. Each scores Australian Fit 2/5 in our reviews.

Data residency — both store your data in the US

Otter stores transcripts in the US on AWS S3 with AES-256 encryption. Granola hosts notes in a US-based AWS Virtual Private Cloud. Neither offers an Australian or regional data region, and neither has a setting that fixes it. Your recordings and notes leave Australia in both cases.

On paperwork, Otter is the stronger of the two: SOC 2 Type II, HIPAA compliance (achieved July 2025 per its blog), and GDPR/CCPA standards. Granola holds SOC 2 Type 2 and is GDPR-compliant with a DPA on request, but claims no HIPAA or ISO 27001. Strong US certifications, though, are not the same as onshore storage. For legal, health, finance or government work with onshore obligations, neither tool clears the bar.

Granola's one real edge here: it stores no audio at all. Otter keeps the recording. If a smaller data-breach surface matters to you, that's a point for Granola.

Several states and territories — Victoria, Western Australia, Tasmania, the ACT and the Northern Territory — broadly require all-party consent to record a private conversation.

Otter's visible bot does some disclosure work, but its terms push consent onto you, and pre-meeting notifications are an Enterprise-only feature. Otter is also the subject of an unproven US class action over alleged recording without all-party consent — no ruling on the merits, but a flag worth knowing.

Granola announces nothing at all, so the entire disclosure burden falls on you. Its built-in consent message only auto-sends on Zoom, on macOS, with the Zoom window focused. Outside that narrow case, you say it yourself, every time.

Neither tool handles consent hands-off in Australia. With both, you must manage it manually and deliberately.

Support and GST

Neither vendor advertises an Australian support presence. Support is online only for both, so expect timezone lag during Australian business hours. And as covered above, neither shows evidence of an ABN tax invoice or itemised GST, which complicates claiming input tax credits.

On Australian fit, this is a genuine tie — and a low one. Choose between these two on workflow and price, not on local fit, because neither serves it well.

The Australian Fit gate

A note on our scoring. Under our methodology, a tool cannot be named a category Top Pick unless it scores Australian Fit 4/5 or higher. Both Otter (2/5) and Granola (2/5) fall short. So while we name a winner between these two below, neither can wear the category crown — that's reserved for a tool that actually serves Australians well on residency, billing and support.

Verdict — who buys which

Both are good notetakers wearing the wrong jacket for Australia, and they are now level at 18/25. Granola still wins on ease of use and its no-stored-audio privacy model; Otter answers back with the only genuine AUD, GST-inclusive checkout of the two — A$24.99/month for Pro through the Australian App Store.

Buy Granola if you're a solo operator, founder or consultant on a Mac or Windows laptop, you take your own calls at your desk, and you want the calmest workflow in the category. You'll open the app, talk, and get a clean summary — no bot, no kept audio, no awkward "let the bot record" moment. It's our pick for the typical Australian buyer. Just be ready to flag "I'm using an AI notepad" at the top of each call, and don't buy it if your team runs Android.

Buy Otter if you need a genuinely free tier, live captions as people talk, strong speaker labels, or a kept transcript you can search and re-listen to later. Its annual Pro plan is also the cheaper paid option at about A$11.66/user/month ex-GST. It's the workhorse — the better choice for anyone who needs a durable record rather than a tidy recap, and the only one of the two with an Android app.

Skip both if you're a regulated Australian business — legal, health, finance, government — that needs data kept onshore, a GST tax invoice with an ABN, or airtight all-party consent handled for you. On those needs, both fail the same way, and you'll want a tool built with Australian residency and consent in mind.

For most Australian professionals choosing an AI notetaker today, Granola is the better daily driver, and Otter is the better record-keeper. Pick by which of those you actually need.

Update history
  • 21 Sep 2026 — Otter Pro's annual price re-cut off the retired 1.55 basis: A$12.90 → A$11.66/user/month ex-GST. The comparison was printing two different Australian prices for the same plan: the pricing table, the at-a-glance summary, the "Buy Otter if" line, the FAQ and its JSON-LD twin all read A$11.66, and one sentence in the pricing section read A$12.90 — which is US$8.33 at 1.55, not at the basis the rest of the file uses. Corrected to match (US$8.33 × 1.4045 ≈ A$11.70, printed A$11.66 as the file already does; ECB reference rate, 18 September 2026, ex-GST per our GST rule). No USD price moved and no score changed — the pair are level at 18/25 and the "Otter is cheaper on annual billing" verdict is if anything slightly stronger at the corrected figure. Superseded figure kept visible per our price-history rule.

Frequently asked questions

Otter.ai vs Granola — which is better for Australians?

They are level at 18/25 since Otter's 21 September 2026 correction. For most Australian buyers on a laptop taking their own calls, Granola still edges it on ease of use and its no-stored-audio privacy model. Choose Otter for a free tier, live captions, a kept searchable transcript, or an Australian-dollar checkout with GST included.

Is Otter.ai or Granola cheaper in AUD?

Neither bills in AUD. Otter Pro is the cheapest paid option at US$8.33/user/month on annual billing (about A$11.66 ex-GST). Granola is US$14/user/month (about A$20 ex-GST), monthly only, with no annual discount.

Which one stores my meeting audio?

Otter keeps the recording; Granola stores no audio at all, deleting it after transcribing. Both store notes and transcripts in the US on AWS, with no Australian data region.

Does either offer Australian data residency?

No. Both host data in the US on AWS with no onshore or regional option. For legal, health, finance or government work with onshore obligations, neither is a safe fit.

Neither does it for you. Otter's visible bot gives some disclosure but pushes consent onto you; Granola announces nothing. In all-party-consent states (VIC, WA, TAS, ACT, NT) you must manage consent manually with both.
