- Description: Circleback produces some of the sharpest AI meeting notes in the category and backs them with a powerful automation layer. A free plan now lets you try it properly. *Prices: USD figures are converted at A$1 = US$0.6970 (RBA, 7 October 2026), about A$1.43 per US dollar, and shown ex-GST. A GST-registered Australian business that supplies its ABN is not charged GST on an imported digital service; other buyers should allow \~10% on top (*[*Methodology*](https://www.theaidirectory.com.au/methodology/)*).*

> **Verdict (TL;DR):** Circleback writes some of the sharpest meeting notes in the category. Its automation engine pushes them into HubSpot, Salesforce and 1,000+ other apps via Zapier and Make. It works for Zoom, Google Meet, Teams, Slack huddles, and in-person meetings via mobile. A free plan now lets you test it on real meetings, and Pro has dropped to US$15 a user a month on annual billing. It is still dearer than Fireflies or Otter. No AUD billing and no confirmed Australian data residency.

## What Circleback is

Circleback is an AI meeting notetaker built by Circleback AI, Inc., backed by Y Combinator and launched in 2024\. It records and transcribes meetings across Zoom, Google Meet, Microsoft Teams, and Slack huddles, and also supports in-person meeting recording via an iOS and Android mobile app.

The headline differentiator is note quality. Circleback specifically targets transcription accuracy for technical terms and accents — including non-American English — and auto-identifies speakers by name without manual configuration. Over 100 languages are supported.

Post-meeting, the automation layer is the second differentiator: Circleback connects directly to HubSpot, Salesforce, Attio, Zoho, Linear, Notion, Monday.com, and Slack, plus 1,000+ additional apps via Zapier and Make. This means meeting outcomes — action items, deal updates, task creation — can flow automatically into your existing tools without copy-pasting.

The product also includes cross-meeting AI search ("What did we agree on with Supplier X?"), video and audio playback of recordings, and inline commenting for team collaboration.

## What it costs in Australia

Circleback is priced in USD and billed monthly or annually. No AUD billing option.

Conversions below use the RBA rate of 7 October 2026 (US$1 ≈ A$1.43). Figures are ex-GST: a GST-registered business that supplies its ABN is not charged GST on an imported digital service; other buyers add \~10%.

Annual prices re-read on circleback.ai/pricing on 8 October 2026; monthly rates read in an Australian browser on 30 September 2026\. The June edition of this review had two paid plans, Individual (US$20.83) and Team (US$25), and no free plan.

**The practical maths:** For a solo operator, the Free plan is now a real way to test it, and Pro at \~A$21 a month (annual) is workable, though still dearer than Fireflies Pro (US$10 a seat on annual billing in our [Fireflies review](https://www.theaidirectory.com.au/fireflies-ai-review-australia-2026/)). For a team of 10 on Business (annual), that's \~A$4,290 a year before GST. That is a significant outlay for a small business that could cover the same core functionality with Fireflies for less.

**Where Circleback earns the premium:** if you rely heavily on post-meeting workflow automation and need reliable transcription accuracy, the extra cost is justified.

## How it works in practice

You connect your calendar (Google or Outlook), and Circleback joins your meetings as a bot — or you use the mobile app to record in-person conversations. After the meeting, it delivers structured notes, automatically assigned action items (with the right person's name attached), a full transcript with speaker identification, and video/audio playback.

The automation builder is where Circleback stands out from simpler notetakers. After a sales call, it can automatically create a HubSpot deal update, post a summary to Slack, and create a Linear task for the follow-up — without you touching any of those tools. You define the workflow once; it runs after every qualifying meeting.

The AI search works across your full meeting history and across meetings shared to your teams (two on Free, five on Pro, unlimited on Business). Ask a question in natural language and it surfaces relevant excerpts with meeting context.

Custom insights let you define specific things to track across calls — competitor mentions, pricing objections, feature requests — similar to keyword tracking in Gong or Fellow.

## What it does well

- **Transcription accuracy is genuinely strong.** Circleback specifically targets technical terms and accent variation. For Australian accents and business jargon, this matters.
- **Speaker identification is automatic.** No need to manually label who said what — the system learns from calendar data and previous meetings.
- **Post-meeting automation engine.** Native integrations with HubSpot, Salesforce, Attio, Zoho, Linear, Notion, and 1,000+ via Zapier/Make. Set-and-forget workflows for CRM updates and task creation.
- **Works in-person via mobile.** iOS and Android apps let you record face-to-face meetings, workshops, or phone calls through your phone.
- **Slack huddles support** — one of very few notetakers that captures Slack voice/video calls.
- **SOC 2, GDPR, HIPAA, EU-US DPF certified** — listed on the home page badges (security.circleback.ai for full details).
- **Video and audio playback** available for reviewing specific moments.
- **No data used for AI model training** — confirmed on the FAQ ("Is my data used to train AI models?").
- **100+ languages supported.**

## What it doesn't do well

- **Price is still the main objection.** At US$15–$18 a month for Pro and US$25–$29 for Business, Circleback costs more than Fireflies and Otter, and about the same as Fathom and Fellow. Fireflies Pro at US$10 a seat (annual) does 80% of what Circleback does for about two-thirds of the price.
- **The free plan is limited.** A permanent Free plan now exists (added since June). It is genuinely usable for notes and action items, but it keeps only 30 days of meeting history and limits automations — the reason to buy Circleback.
- **No AUD billing.** USD only.
- **No confirmed Australian data residency.** Circleback AI, Inc. is a US company. Security certifications are listed but no Australian server region is stated.- **Bot-free recording puts consent on you.** The desktop app records online meetings with no visible participant, on every plan including Free. Nobody sees a bot, so announce the recording yourself.
- **Business plan has a per-seat cost.** At US$25/user/month (annual), a team of 15 costs \~A$536 a month before GST.

## Australian fit

**Billing:** USD only. A GST-registered business that supplies its ABN is not charged GST on an imported digital service; other buyers should allow about 10%.

**Data residency:** Circleback AI, Inc. is a US company. Security certifications (SOC 2, HIPAA, GDPR, EU-US DPF) are listed on the home page, and a full security page is at security.circleback.ai. No Australian data residency is stated. A Data Processing Agreement is available at circleback.ai/dpa. **Recording consent:** Circleback records online meetings either with a visible bot or through its bot-free desktop app. Under Australian law (Telecommunications (Interception and Access) Act 1979 and state surveillance device acts), all parties to a conversation generally need to consent to recording. A visible bot makes consent easier to establish; the desktop app does not. Participants can see a bot and leave if they object. Either way, you remain legally responsible for obtaining consent. For in-person recording via the mobile app, consent requirements also apply. This is not legal advice.

**Support:** US-based company. Support is via support.circleback.ai. No AU phone or AU-based team stated.

## Alternatives

If the automation layer is what appeals, but the price is the obstacle, [**Fireflies.ai**](https://www.theaidirectory.com.au/fireflies-ai-review-australia-2026/) offers comparable integrations for less. For teams that want strong privacy controls alongside good note-taking, [**Fellow**](https://www.theaidirectory.com.au/review-fellow-australia-2026/) is more defensible in regulated sectors. If you need a CRM-forward tool with coaching features, [**Avoma**](https://www.theaidirectory.com.au/review-avoma-australia-2026/) competes directly with Circleback at a similar price point.

## Bottom line

Circleback is a polished, accurate meeting notetaker with a genuinely useful post-meeting automation layer. If you spend a lot of time after calls updating CRMs, creating tasks, and posting Slack summaries, the automation alone could justify the price. Pro at US$15 a user a month sits mid-pack, and most Australian small businesses will get 80% of the value from Fireflies for less. What has changed is the way in: the Free plan lets you run it on real meetings before you pay a cent. It earns its premium for automation-heavy users and sales teams. Everyone else should start on the Free plan and upgrade only if the automation layer proves its worth.

Australian Fit is 2/5, below the 4/5 our [Methodology](https://www.theaidirectory.com.au/methodology/) requires for a five-star rating or a category Top Pick. Circleback can be recommended, but it cannot be named a category winner.

Update history
- **8 Oct 2026** — New edition: re-score after the plan change. Was: 15/25 ⭐⭐⭐ Good (Value for Money 2/5, docked for "no free tier" and the highest price in the field). Now: **16/25 ⭐⭐⭐⭐ Very Good** (Value for Money 3/5). A useful Free plan exists and Pro fell from US$20.83 to US$15 on annual billing; it is still dearer than Fireflies and Otter and bills only in USD, so it stops at 3\. A$ conversions recut at the RBA rate of 7 Oct 2026\. Source: Circleback pricing page, Free US$0, Pro US$15, Business US$25, Enterprise US$35 a user a month on annual billing (read 8 Oct 2026); monthly rates Pro US$18 and Business US$29 (read in an Australian browser 30 Sep 2026). The previous edition is kept unchanged and linked above.
- **30 Sep 2026 — re-verified by browser; the plans have been rebuilt, and two AUD sums were on the retired 1.55 basis.** `circleback.ai/pricing` on an Australian connection now lists **Free** ($0: notes, action items, limited automations, 30-day history), **Pro $15** a user a month billed yearly or $18 monthly, **Business $25** yearly or $29 monthly, and **Enterprise $35** a user a month, yearly only, with automatic volume discounts. The review had Individual at US$20.83 and Team at US$25 (both annual), Enterprise custom, and said there was no permanent free plan. The page also now offers a bot-free desktop app for online meetings. Bare `$`, no `A$`. Table, verdict, weaknesses, bottom line, meta and the pricing FAQ (body and schema) rewritten; the team-of-10 and team-of-15 sums (A$4,650 a year, A$585 a month) were US$ × 1.55 and are now A$4,200 and A$525\. Feature placement below the pricing section (Slack huddles, cross-team search) was not re-read and keeps the June plan names. **Score held at 15/25**: the two things Value for Money was docked for, no free tier and the highest price in the field, have both eased, so that cell is flagged for the next full re-review. `aud_native: false` already set.
