> **Verdict (TL;DR):** Fireflies.ai is a solid, cheap AI meeting notetaker that scores 18/25 for Australian users. A bot — the Fireflies Notetaker — joins your Zoom, Google Meet and Teams calls, transcribes everything, and hands you a searchable summary. Pro is US$10/seat/month on an annual plan (about A$14.00/mo before FX and card fees), and the free tier is genuinely usable. Buy it if you run back-to-back online meetings for sales, consulting or recruitment, you are comfortable with your transcripts being stored in the United States, and you will manage recording consent yourself. Skip it if you handle sensitive client data that must stay onshore, you need AUD billing with a clean GST tax invoice showing an ABN, or you operate in an all-party-consent state without a consent process already in place. The product is good. The Australian fit is where it stumbles.

## What it is and who makes it

Fireflies.ai is a meeting assistant. You connect your calendar, and when a meeting starts, a bot — the Fireflies.ai Notetaker, which emails from fred@fireflies.ai — joins the call as a visible participant and records it. After the call you get a full transcript, an AI summary, action items and talk-time analytics — all searchable from a web dashboard.

It is one of the category anchors, sitting alongside Otter, Fathom and Microsoft Copilot in the meeting-notes space. Fireflies leans hard into breadth of coverage. The bot joins Zoom, Google Meet and Microsoft Teams, and it auto-joins straight from your calendar, so you are not fiddling with links before every call.

For a Melbourne business owner running sales calls, client meetings or interviews on Zoom and Meet all day, the pitch is simple. Stop taking notes. Let the bot do it, then search the transcript later when you need the one thing someone said in passing forty minutes in.

## Pricing in AUD (and the GST catch)

All Fireflies pricing is published in US dollars. There is no AUD billing option on the pricing page. Here is the lineup, with approximate AUD at a 1.40 exchange rate — these figures exclude FX margins and card fees, so treat them as a floor.

| Plan | USD / seat / month | Approx AUD / seat / month (ex-GST) | Notes |
| ---------- | ------------------------------------ | ---------------------------------- | ------------------------------------------------- |
| Free | US$0 | A$0 | Unlimited transcription, 800 min storage per seat |
| Pro | US$10 billed annually, US$18 monthly | \~A$14, or \~A$25 monthly | |
| Business | US$19 billed annually, US$29 monthly | \~A$27, or \~A$41 monthly | |
| Enterprise | US$39 | \~A$55 | Billed annually only |

*Table added 24 September 2026 from figures already in the bullets below, each re-confirmed against `fireflies.ai/pricing` the same day — no new claim. Fireflies names no currency on the page; US dollars is our inference from a US vendor. Converted at US$1 = A$1.4045 (Frankfurter/ECB, 18 September 2026), ex-GST per our GST rule.*

- **Free — US$0 (A$0).** Unlimited transcription, 800 minutes of storage per seat, limited AI summaries, mobile apps, the Chrome extension and basic integrations.
- **Pro — US$10/seat/month billed annually (\~A$14.00/mo), or US$18/seat/month monthly (\~A$25.20/mo).**
- **Business — US$19/seat/month billed annually (\~A$26.60/mo), or US$29/seat/month monthly (\~A$40.60/mo).**
- **Enterprise — US$39/seat/month (\~A$54.60/mo), billed annually only.**

That Pro annual rate is genuinely competitive. US$10/seat/month with unlimited transcription undercuts several rivals, and the free tier lets you trial it properly before paying.

Now the catch Australian buyers keep tripping over. **Fireflies does not document a compliant Australian tax invoice — one showing an ABN and GST — on any of its own pages.** The pricing and billing pages make no mention of GST, ABN or Australian tax invoicing, and whether GST is added at the USD checkout is not stated. If you are planning to claim a GST input-tax credit on this subscription, confirm the tax treatment at checkout before you rely on it. Expect a USD charge on your statement, plus whatever your card issuer adds for an international transaction.

The other thing to note: the best value, and the only option at Enterprise level, requires an annual commitment. Month-to-month nearly doubles the per-seat cost.

## Ease of use

This is where Fireflies earns its keep. Setup is light. Connect your calendar, and the bot starts auto-joining scheduled meetings without further input. You do not have to remember to launch anything.

During a call, the Fireflies Notetaker sits in the participant list like any other attendee. You can pause, resume or remove the bot mid-call with chat commands — useful when a meeting veers into something you would rather not have on the record. After the meeting, the transcript and summary land in your dashboard, ready to search.

A non-technical user gets to first value inside fifteen minutes. The friction is not in setup — it is in the plan mechanics. AI features run on a monthly credit allowance (more on that below), and the gating between tiers takes a moment to understand. It is not unmanageable, but it stops this being a flawless five out of five.

## Features (the specifics)

Fireflies does more than dump a transcript on you.

- **Transcription** is unlimited on every plan, including Free. You are capped on storage, not minutes.
- **AI summaries and action items** turn a 45-minute call into a short set of dot points and follow-ups, rather than a wall of text.
- **Talk-time analytics and conversation intelligence** show who spoke and for how long — handy for sales coaching and interview review.
- **Integrations** push notes into the tools you already use, so the summary lands where your team works.
- **Search** across your whole transcript library means you can find the one sentence a client said three weeks ago.
- **Enterprise controls** add Private Storage, Bring Your Own Storage, a HIPAA Business Associate Agreement, SSO/SCIM and audit logs for security-conscious teams.

The asterisk is the **AI credits**. The smartest AI features are metered monthly — 20 credits on Pro, 30 on Business, 50 on Enterprise — rather than being unlimited. For light use this is fine. For a heavy user running many calls a day, it is a ceiling worth checking against your actual volume before you commit.

## Australian fit: data residency and recording consent

This is the section that matters most for an Australian buyer, and it is where Fireflies loses ground.

### Where your data lives

**By default, your data is stored and processed in the United States.** Fireflies runs on AWS and Google Cloud, with its database inside an AWS Virtual Private Cloud. There is no Australian data residency option. An EU storage option exists, but only via Private Storage / Bring Your Own Storage (BYOS on AWS S3 or Google Cloud Storage), and only on Enterprise plans — and even then, data is stored in the EU but still processed in the US.

For a Melbourne business, the practical read is this: your meeting recordings and transcripts will sit on US infrastructure. If you handle client data that is contractually or legally required to stay onshore, Fireflies does not give you a way to do that.

The security baseline is otherwise strong. Fireflies is SOC 2 Type II certified (independently audited annually) and GDPR-compliant. Data is encrypted with AES-256 at rest and TLS in transit. It offers HIPAA with a BAA on Enterprise. Notably, Fireflies states a 0-day retention policy, meaning your meeting data is not used to train AI models by default — a genuine plus. One caveat: Fireflies does not claim an ISO 27001 certificate on its own pages — it lists SOC 2 Type II and GDPR, with AWS hosting that follows ISO 27001\. If a held ISO 27001 certificate matters to your procurement team, check trust.fireflies.ai directly.

### Recording consent under Australian law

Fireflies records a private conversation, and in Australia that is a legal question, not just a courtesy.

The tool's posture is reasonable. The bot is **visible** in the participant list — anyone on the call can see the Fireflies Notetaker is there. Fireflies can also send an **advance email** to calendar invitees, reported as roughly one hour before the meeting, advising that Fireflies will record, with an opt-out so the notetaker does not join. (Exact timing can vary by workspace configuration; Fireflies' help centre describes roughly an hour before the meeting.) There is also a bot-free desktop recording mode and a Google Meet SDK bot-free option.

Here is why this matters. Australian surveillance and listening-device laws are set by each state and territory, and they are not uniform. **Victoria, Western Australia, the ACT, the Northern Territory, Tasmania and South Australia broadly require the consent of all parties to record a private conversation.** New South Wales and Queensland sit closer to one-party consent. A visible bot plus an advance email notice helps you build that consent — but **the tool does not enforce it.** The legal burden sits entirely with you. If you are in Melbourne, Perth, Canberra, Darwin, Hobart or Adelaide, you need every participant's consent, and you should document it. Fireflies gives you the tools; it does not do the work.

That combination — US-only data residency, no confirmed ABN/GST invoice, USD-only billing, and consent tooling that informs but does not enforce — is why Australian Fit scores a strict 2/5\. The visible bot and the advance consent email are the only things keeping it off a 1.

## Watch out for

Be honest with yourself about these before you buy.

- **No AUD billing.** Every plan is charged in USD. You wear FX margins and international card fees on top of the listed price.
- **No confirmed Australian tax invoice.** An ABN- and GST-showing invoice is not documented on any Fireflies page. Bad news if you need a clean input-tax-credit claim.
- **No Australian data residency.** Transcripts and recordings sit in the US. EU storage is Enterprise-only, and processing still happens in the US regardless.
- **Consent is on you.** In all-party-consent states (VIC, WA, ACT, NT, TAS, SA), the legal responsibility is entirely yours. The tool will not stop a non-compliant recording.
- **AI features are metered.** The best AI capabilities run on monthly credits (20 Pro / 30 Business / 50 Enterprise), not unlimited use.
- **Best value needs an annual commitment.** Month-to-month roughly doubles the per-seat cost, and Enterprise is annual-only.
- **No ISO 27001 certificate.** Fireflies lists SOC 2 Type II and GDPR, not an ISO 27001 certification.

## Reliability and support

The operational signals are mature. SOC 2 Type II certification, annual third-party audits, penetration testing, a public trust centre and a bug bounty programme all point to a serious, dependable operation. This is not a fly-by-night tool.

The one limitation: dedicated account management is Enterprise-only. A solo operator or small team on Pro relies on standard support channels and documentation rather than a named contact. For most Australian small businesses that is acceptable — just know that hands-on, human support is reserved for the top tier.

## Best for

Fireflies suits a Melbourne business owner who runs back-to-back online meetings and wants searchable transcripts and summaries without paying a premium — provided you are comfortable with US data storage and willing to manage recording consent yourself. Sales, consulting and recruitment teams living on Zoom, Meet and Teams are the sweet spot.

It is a poor fit if you handle sensitive client data that must stay onshore, you need AUD billing with a clean GST/ABN tax invoice, or you operate in an all-party-consent state without a consent process already running.

## Verdict

Fireflies.ai is a good product with an Australian-fit problem. At US$10/seat/month annual (\~A$14.00/mo before fees), the value is real, the free tier is usable, and the feature set — transcription, summaries, analytics, integrations — is broad and capable. The security baseline is strong and the 0-day no-training policy is a genuine point in its favour.

But you are buying a US product on US terms. USD-only billing, no confirmed ABN tax invoice, US data residency with no onshore option, and consent that you are legally responsible for managing yourself. None of that is a dealbreaker on its own. Together, they mean Fireflies is a 2/5 on the one criterion this publication weighs most heavily.

**If you run high-volume online meetings, you are relaxed about US data storage, and you have a consent process in place — start on the free tier, then move to Pro on the annual plan.** If your data must stay onshore or you need a clean GST invoice with an ABN, look elsewhere first. Final score: 18/25.

## Frequently asked questions

### Is Fireflies.ai available in Australia?

Yes. The Notetaker bot auto-joins Zoom, Google Meet and Microsoft Teams calls from your calendar, and works fully from Australia. There's no Australian entity, office or local phone line — human account management is Enterprise-only.

### Does Fireflies charge in AUD?

No. All pricing is in US dollars — Pro is US$10/seat/month billed annually (\~A$14.00/mo before FX and card fees). There's no confirmed Australian tax invoice showing an ABN and GST, so check the tax treatment at checkout before relying on a GST input-tax credit.

### Is there a free plan?

Yes, and it's genuinely usable — unlimited transcription, 800 minutes of storage per seat, limited AI summaries, mobile apps and the Chrome extension. Note the smartest AI features run on a monthly credit allowance even on paid tiers.

### Is my meeting data stored in Australia?

No. By default, data is stored and processed in the United States on AWS and Google Cloud, with no Australian residency option. An EU storage option exists only on Enterprise (and processing still happens in the US). It's SOC 2 Type II and GDPR compliant with a 0-day no-training policy, but holds no ISO 27001 certificate.

### Is recording calls with Fireflies legal in Australia?

It can be, but it's your responsibility. Victoria, WA, the ACT, NT, Tasmania and SA broadly require all-party consent. Fireflies uses a visible bot and can send an advance consent email, but it doesn't enforce consent — get and document everyone's agreement yourself.
