Head-to-head verdict

[**18**/25Otter.ai](https://www.theaidirectory.com.au/otter-ai-review-australia-2026/)[**18**/25Fireflies.aiWinner](https://www.theaidirectory.com.au/fireflies-ai-review-australia-2026/)

**Our pick: Fireflies.ai.** The verdict below says who should buy the other.

Otter.ai and Fireflies.ai are two of the most-searched meeting transcribers in Australia, and yet we have never put them in the ring together. That is an odd gap, because they are the two tools a Melbourne business owner is most likely to be choosing between. Both reviewed well here: [Fireflies scored 18/25](https://www.theaidirectory.com.au/fireflies-ai-review-australia-2026/), [Otter 18/25](https://www.theaidirectory.com.au/otter-ai-review-australia-2026/) — level, after Otter was corrected from 17/25 on 21 September 2026\. So the score table will not tell you which to buy at all.

The real difference is what the tool is *for*. Otter is built for teams that work inside the transcript — live shared notes, in-call chat, a record everyone reads and edits together. Fireflies is built to feed a workflow — integrations, talk-time analytics, conversation intelligence that pushes the meeting into your CRM and your reporting. It is collaboration versus automation. An Australian buyer should pick on a single question: does the meeting record need to *do* something afterwards, or just be searchable?

This piece settles that. We cite the scores and verdicts from our existing reviews — we are not re-scoring here — pull current pricing from each vendor's own page, and end with a clear who-buys-which.

## The split in one line

- **Otter** is the better pick when the meeting record is the workspace — when a team reads, searches and chats over the transcript together in real time.
- **Fireflies** is the better pick when the meeting record is an input — when the summary and the data need to land in another tool and drive a follow-up.

Everything below is detail under those two sentences.

## Pricing in AUD

Both tools bill in US dollars only. Neither shows AUD on its pricing page, neither documents an ABN-bearing Australian tax invoice with GST, and both will attract a foreign-transaction fee (commonly 2–3%) plus the exchange rate on the day. The AUD figures below are our own conversions at roughly 1.40, not prices either vendor quotes. Treat them as a floor, ex-GST.

| Plan | Otter.ai (USD) | Otter.ai (\~AUD/mo) | Fireflies.ai (USD) | Fireflies.ai (\~AUD/mo) |
| ------------------ | -------------- | ------------------- | -------------------- | ----------------------- |
| Free | $0 | A$0 | $0 | A$0 |
| Pro — annual | $8.33/user/mo | \~A$11.70 | $10/seat/mo | \~A$14.00 |
| Pro — monthly | $16.99/user/mo | \~A$23.86 | $18/seat/mo | \~A$25.20 |
| Business — annual | $19.99/user/mo | \~A$27.99 | $19/seat/mo | \~A$26.60 |
| Business — monthly | $30/user/mo | \~A$42.00 | $29/seat/mo | \~A$40.60 |
| Enterprise | Custom (demo) | Quoted USD | $39/seat/mo (annual) | \~A$54.60 |

On the entry tier, Otter is the cheaper paid plan: roughly A$11.70 against A$14.00 a month on annual billing. But the two free tiers measure generosity differently, and the difference matters.

Otter's free Basic gives 300 transcription minutes per user a month, capped at about 30 minutes per conversation. That cuts off a long call mid-sentence. Fireflies' free plan gives unlimited transcription minutes, capping you on storage instead (400 minutes of stored audio per team, per its current pricing page). For someone in back-to-back hour-long meetings, Fireflies' free tier goes further before it stops you. For someone recording short check-ins, Otter's is fine and a dollar or two cheaper to upgrade.

One catch on Fireflies worth repeating from our review: its smartest AI features run on a monthly credit allowance — 20 credits on Free and Pro, 30 on Business, 50 on Enterprise — not unlimited use. Otter's AI Chat is also limited on the free tier (20 queries per user). Neither gives away unlimited AI. Check your real call volume against those ceilings before you commit.

The headline: Fireflies is marginally dearer at Pro but harder to outgrow on transcription; Otter is cheaper to start paying for but throttles long calls until you do.

## Feature diff: collaboration vs automation

Both tools do the table stakes well, and identically enough that they are not where you decide. Both drop a visible bot into Zoom, Microsoft Teams and Google Meet straight from your calendar. Both transcribe with speaker labels, write an AI summary, pull action items, and let you search your whole transcript library. Both have mobile apps and an after-the-fact AI chat over the recording. If all you need is "record the call, give me a searchable write-up", either one does the job and you should buy on price and data residency alone.

The split shows up past the basics.

**Otter leans into live collaboration.** The transcript builds in real time and a team can work in it together — shared notes, comments, and an in-meeting chat where people ask the AI questions while the call is still running. The record is a shared surface, not a file that lands in your inbox afterwards. For a team that genuinely works *in* the transcript — agreeing actions live, annotating as they go — Otter's real-time, collaborative model is the better-fitting tool.

**Fireflies leans into workflow and analytics.** Its differentiator is what happens after the call. Talk-time analytics and conversation intelligence show who spoke and for how long — useful for sales coaching and interview review. Its integrations push the summary and the structured data into the tools your team already runs, so the meeting record becomes a step in a process rather than an endpoint. If the meeting needs to feed a CRM, a follow-up task or a reporting dashboard, Fireflies is built for that hand-off in a way Otter is not.

Our Otter review made exactly this point on depth: it is a complete notetaker but "not the deepest workflow tool in the category", and for heavy automation — pushing structured data into a CRM, complex routing — "some rivals go further." Fireflies is one of those rivals. Both score Feature Depth 4/5 in their reviews, but they earn that 4 in different places: Otter on a polished, collaborative core, Fireflies on breadth and the workflow hand-off.

So the feature question is not "which has more". It is "do you live in the meeting record, or do you send it somewhere?"

## Australian fit: where both stumble, equally

Here is the uncomfortable truth for an Australian buyer: on the criterion this publication weighs most heavily, the two tools are tied, and both score a strict **2/5**. Neither is built for Australia, and the gap between them on local fit is essentially zero.

**Data residency.** Both store your transcripts in the United States, on AWS, with no Australian or onshore option. Otter holds genuinely strong certifications — SOC 2 Type II, HIPAA compliance, and GDPR/CCPA standards — but those do not change where the data sits. Fireflies matches the SOC 2 Type II and GDPR baseline and adds one thing Otter does not advertise: a stated 0-day retention policy, meaning your meeting data is not used to train its models by default. Fireflies also offers an EU storage option, but only on Enterprise, and processing still happens in the US regardless. Neither holds an ISO 27001 certificate on its own pages. For a regulated Australian buyer in legal, health, finance or government, "stored in the US with US certifications" is not "stored in Australia", and there is no setting on either tool that fixes it.

**Billing and GST.** Identical problem on both. USD-only pricing, no AUD billing, and no documented ABN tax invoice showing GST on either vendor's pages. If you need a clean tax invoice to claim a GST input-tax credit, neither tool gives you one out of the box. Confirm the tax treatment at the USD checkout before you rely on it.

**Recording consent — the Australian trap.** Both record by dropping a visible bot into the call, and both push the legal responsibility for consent onto you. This matters because Australian recording law is set state by state. Victoria, Western Australia, the ACT, the Northern Territory, Tasmania and South Australia broadly require **all-party consent** to record a private conversation. New South Wales and Queensland sit closer to one-party consent. A visible bot is notice, not consent, and neither tool enforces it.

There is a meaningful difference in how much each helps you. Fireflies can send an **advance email** to invitees — reported as roughly an hour before the meeting — flagging that it will record, with an opt-out. That gives you a documentable consent trail on any plan. Otter offers the equivalent pre-meeting notification, but it is an **Enterprise-only** feature, switched off for Basic and Pro users. On top of that, Otter is the subject of an ongoing, unproven US class action over alleged recording without all-party consent (no ruling on the merits). For an Australian buyer building a defensible consent process, Fireflies' advance-email-on-every-plan is the more practical tool, even though both land the legal burden on you.

**Support.** Neither has an advertised Australian presence. Both are online-only support, so expect timezone lag in AU business hours. Fireflies reserves human account management for Enterprise; Otter is help-centre, email and chat across the board.

This is the section that should give a regulated buyer pause about *both* tools. If your data must stay onshore, or you need airtight all-party consent baked in, neither Otter nor Fireflies is your answer — look at a tool built with Australian residency in mind first. The choice below is for the larger group of Australians who can live with US storage and will manage consent themselves.

## How they score (from our existing reviews)

| Criterion | Otter.ai | Fireflies.ai |
| --------------------- | -------------- | -------------- |
| Value for Money | 4/5 | 4/5 |
| Ease of Use | 4/5 | 4/5 |
| Feature Depth | 4/5 | 4/5 |
| Australian Fit | 2/5 | 2/5 |
| Reliability & Support | 3/5 | 4/5 |
| **Total** | **17/25 ⭐⭐⭐⭐** | **18/25 ⭐⭐⭐⭐** |

The single point of separation is **Reliability & Support**: Fireflies earns a 4 against Otter's 3\. Both are mature, stable products, but our reviews dragged Otter to a 3 on the back of its online-only support with no AU presence and the live class action over consent, while Fireflies' public trust centre, annual third-party audits, penetration testing and bug-bounty programme held it at a 4\. That one point is the whole numeric gap. Note both are gated at four stars under our [Australian Fit rule](https://www.theaidirectory.com.au/methodology/) — a 2/5 on local fit caps the displayed rating regardless of the raw total.

## The verdict: who buys which

These two tools are a point apart on the scoreboard and tied on Australian fit. Price is close. So you choose on the split, not the total.

**Buy Fireflies.ai if the meeting needs to feed a workflow.** That is most Australian buyers, which is why it is our winner for the typical user. If you run high-volume sales, consulting or recruitment calls and need the summary and the conversation data to land in your CRM, drive a follow-up, or feed talk-time analytics for coaching, Fireflies is built for that hand-off and Otter is not. It also wins on the practical Australian details that matter when you cannot escape US storage: unlimited free transcription, the advance consent email on every plan, the 0-day no-training policy, and the extra point on reliability. Start on the free tier, then move to Pro on annual billing (\~A$15.50/mo before fees).

**Buy Otter.ai if your team works inside the transcript.** If the meeting record is a shared workspace — a team reading, searching, annotating and chatting over the live transcript together — Otter's real-time collaboration is the better-fitting tool, and it is a dollar or two cheaper at Pro (\~A$12.90/mo before fees). It is also the simpler pick for a solo operator or student who just wants clean notes and does not need anything pushed anywhere. Just watch the 30-minute-per-conversation cap on the free tier, and remember the pre-meeting consent notice is Enterprise-only — in an all-party-consent state, that is real friction.

**Our pick for the typical Australian buyer: Fireflies.ai.** Not because it is dramatically better — it is one point and one design philosophy apart — but because the typical buyer needs the meeting to do something afterwards, and Fireflies is the tool built to make that happen. If you genuinely live in the transcript as a team, Otter earns the nod instead. And if your data must stay onshore or you need consent enforced rather than merely flagged, the honest answer is neither — start with a tool built for Australia.

Update history
- **24 Sep 2026** — **Otter's two Pro rows recut, and the prose corrected to match the table.** Otter Pro read **\~A$12.90** annual and **\~A$26.30** monthly against US$8.33 and US$16.99 — both 1.55, the retired basis — while Fireflies' entire column beside them was already at 1.4045\. One vendor in the table had been reconciled and the other had not. At US$1 = A$1.4045 (Frankfurter/ECB, 18 September 2026) they are **\~A$11.70** and **\~A$23.86**. **The prose was quoting a third set of figures again** — *“roughly A$12.90 against A$15.50”* — where A$15.50 is US$10 × 1.55 and the table two lines above said A$14.00; corrected in the comparison, the FAQ and the JSON-LD. **The verdict does not change and gets stronger:** Otter was already the cheaper Pro tier on annual billing, and at the correct rates it is now cheaper on monthly billing too (A$23.86 against A$25.20), where the old figures had it dearer. **No USD price moved and no score changed.** `reviewed:` untouched per our dating rule.

## Frequently asked questions

### Is Otter.ai or Fireflies.ai cheaper in Australia?

Otter is marginally cheaper at the paid Pro tier — about A$11.70/user/month on annual billing against Fireflies' A$14.00/seat/month — but both bill in USD with foreign-transaction fees on top. Fireflies' free tier offers unlimited transcription; Otter's free tier caps you at 300 minutes a month.

### Which is better for an Australian business?

For most Australian buyers, Fireflies, because its integrations and analytics feed the meeting record into a workflow or CRM. Choose Otter if your team works collaboratively inside the live transcript instead. Both score 2/5 on Australian fit, so neither suits a buyer who needs onshore data storage.

### Do either store data in Australia?

No. Both Otter and Fireflies store transcripts in the United States on AWS, with no Australian residency option. Both hold SOC 2 Type II and GDPR standards; Fireflies adds a 0-day no-training policy. For regulated AU sectors needing onshore storage, neither satisfies the obligation.

### Is recording with Otter or Fireflies legal in Australia?

It can be, but the consent burden is on you. Victoria, WA, the ACT, NT, Tasmania and SA broadly require all-party consent. Fireflies can send an advance consent email on any plan; Otter's pre-meeting notification is Enterprise-only. Get and document everyone's agreement yourself.

### Does either charge in AUD or give a GST tax invoice?

No. Both price in USD only, with no AUD billing and no documented ABN tax invoice showing GST on their own pages. Confirm the tax treatment at the USD checkout before relying on a GST input-tax credit.
