**Our Top Pick for Australians: Zoom AI Companion.** Every pick below is scored on the same five criteria.

*Pricing figures updated 6 September 2026: USD prices are converted at the current rate (1 USD ≈ 1.40 AUD, verified 5 September 2026) and shown ex-GST, replacing the retired 1.55 + GST basis. A GST-registered Australian business that supplies its ABN is not charged GST on an imported digital service; other buyers should allow \~10% on top (*[*Methodology*](https://www.theaidirectory.com.au/methodology/)*).*

*Refreshed 29 July 2026 — folded in tools reviewed since June: Krisp, Grain, MeetGeek, Sembly AI, Avoma and tl;dv.*

## Why this matters

An AI notetaker sits in your meetings, records them, transcribes them, and hands you a summary with action items. It can turn a 45-minute call into a six-dot-point recap in under a minute. That is real time back in your week.

But for an Australian business, the tool's cleverness is not the hard part. The hard part is where your recordings live, whether you are allowed to record the call at all, and whether you can get a tax invoice your bookkeeper will accept.

We have now tested eleven of the most popular notetakers — Fathom, Fireflies.ai, Granola, Krisp, Otter.ai, Notta, Grain, MeetGeek, Sembly AI, Avoma and tl;dv. On raw capability, several are excellent. On Australian fit, every single one stumbles. That gap is the whole story of this roundup, so we have led with it.

One result up front: among these eleven, the highest-scoring tool does **not** win our Top Pick — none of them clears our Australian Fit gate. The pick instead goes to a tool that arrived after we first published: [Zoom AI Companion](https://www.theaidirectory.com.au/review-zoom-ai-companion-australia-2026/), the first in the category to clear the gate. We explain both calls below.

All prices are USD-billed and converted at \~1.40\. None of these vendors bills in AUD or issues an Australian tax invoice with an ABN. Treat the AUD figures as a guide, not a quote.

## Fathom

Fathom is the best free AI notetaker we have looked at, and it is not close on price. The free-forever tier gives you unlimited recording and transcription — most rivals charge for that. It writes clean summaries and action items off your Zoom, Teams and Meet calls.

Paid plans start at roughly A$22/user/month (USD $16 billed annually), with GST likely added at checkout. The free tier now caps advanced AI summaries at five calls a month, so heavy users will graduate to paid — but the recording and transcript stay unlimited even on Free.

**The catch:** Fathom stores everything in the United States and bills in USD only. No AUD invoice, no ABN, no onshore option.

For a solo operator or small Melbourne team on a budget, start on Free today. You lose nothing by trying it. Score: **19/25** (Australian Fit 2/5) — down from 20/25 on 21 September 2026, when Value for Money was corrected from 5/5 to 4/5 because Fathom's paid product is USD-only with no AUD price.

## Fireflies.ai

Fireflies is the cheapest paid all-rounder here. A bot called Fred joins your Zoom, Google Meet and Teams calls, transcribes everything, and hands you a searchable summary you can query later. Pro is USD $10/seat/month on the annual plan — about A$14.00/month before FX and card fees — and the free tier is genuinely usable.

It is a good fit if you run back-to-back online meetings for sales, consulting or recruitment, you are comfortable with transcripts stored in the US (AWS and GCP), and you will manage recording consent yourself.

**The catch:** onshore storage is Enterprise-only, billing is USD, and there is no clean AUD tax invoice showing an ABN.

The product is good. The Australian fit is where it stumbles. Score: **18/25** (Australian Fit 2/5).

## Granola

Granola is the notetaker that does not put a bot in your call. It listens to your computer's own audio, writes you clean AI notes, then deletes the recording — it never stores audio at all. That is a genuine privacy edge, and the reason it is the one tool here we would trust with a sensitive conversation.

At USD $14/user/month (roughly A$20 before GST), the Business plan is fair value for someone who lives in back-to-back calls. It runs on Mac and Windows.

**The catch:** no Australian data residency, no ABN tax invoice in AUD, no Android app, and you still have to say "I'm using an AI notepad" at the top of each call yourself.

Buy it if you are a founder or consultant who takes your own calls and is happy to flag it. Score: **18/25** (Australian Fit 2/5).

→ Read the full [**Granola review**](https://www.theaidirectory.com.au/granola-review-australia-2026/).

## Krisp

Krisp comes at meeting notes from a different angle: it is the best background-noise remover on the market, and it has quietly grown a competent AI notetaker around it. It works as a virtual microphone across every calling app — Zoom, Teams, Meet, even phone calls — with no bot joining your meeting. English transcription runs on-device, which is a small but real privacy win.

The Core plan is USD $8/user/month billed annually — about A$11/month ex-GST. Pay monthly and the price doubles, so budget for the annual commitment. The free tier is genuinely usable, though Krisp does not clearly publish its exact daily limits.

**The catch:** USD-only billing, no GST invoice line, and stored notes and recordings sit in Krisp's cloud with no Australian data region. As a pure notes tool it is good, not class-leading — Otter and Fathom go deeper on the notes themselves.

If you take calls from a noisy home office, a co-working desk or a site office, buy it for the audio and treat the notes as a bonus. Score: **18/25** (Australian Fit 2/5).

→ Read the full [**Krisp review**](https://www.theaidirectory.com.au/review-krisp-australia-2026/).

## Otter.ai

Otter is the mature, easy option, with a genuinely free tier (300 minutes a month) and Pro from USD $8.33/user/month on annual billing — roughly A$11.66/month ex-GST. For a solo operator, student or small team recording internal calls, it is a fair buy.

But the Australian fit is weak. Transcripts live in the US on AWS with no onshore option, and the visible-bot consent model clashes with the all-party-consent states. The money side is better than we first said: otter.ai is USD-only with no ABN tax invoice, but the **Australian App Store sells Otter Pro at A$24.99/month or A$149.99/year in Australian dollars with GST included**, on an Apple tax invoice — and at no premium over the web rate. Business is dearer in the app; buy that one on the web. *(Corrected 21 Sep 2026 — this paragraph previously said Otter had no AUD billing and no ABN tax invoice at all; score 17/25 → 18/25.)*

It is also the subject of an ongoing US class action — *In re Otter.AI Privacy Litigation* (N.D. Cal.) — alleging recording without all-party consent. No ruling yet, but it tells you where the legal risk sits.

Skip it if you are in legal, health, finance or government. Score: **17/25** (Australian Fit 2/5).

→ Read the full [**Otter.ai review**](https://www.theaidirectory.com.au/otter-ai-review-australia-2026/).

## Notta

Notta is one of the cheapest serious notetakers you can buy — roughly A$12.70/month (billed annually) for Pro — with 58-language transcription and translation that outpaces most Western rivals. If you run meetings across English and an Asian language, it is worth a look.

But for an Australian business it carries two real catches. Your transcripts and recordings sit on AWS in Tokyo, with no Australian residency option. And billing is USD-only with no ABN tax invoice. On AI training, Notta is actually better than its reputation — it is **opt-in**, not forced; you can decline in settings on any plan.

The real catch is the offshore data and USD-only billing, not training. Score: **17/25** (Australian Fit 2/5).

→ Read the full [**Notta review**](https://www.theaidirectory.com.au/notta-review-australia-2026/).

## MeetGeek

MeetGeek is one of the better-value notetakers for solo operators and small teams. The free plan does real work — three hours of recorded, transcribed and summarised meetings a month, in 100-plus languages, for nothing. For a sole trader with a handful of calls a week, that may be all you ever need. Pro is USD $9.99/user/month — about A$14 — which undercuts most of the category, and Business at roughly A$27 buys unlimited transcription.

Two traps to watch. Pro charges USD $0.50 per extra hour above its 20-hour monthly cap, so a heavy month can quietly cost more than the headline price. And the summaries need a human eye before you send them to a client.

**The catch:** USD-only billing, GST handling unstated, and your data sits in the US or EU with no Australian option. Score: **16/25** (Australian Fit 2/5).

→ Read the full [**MeetGeek review**](https://www.theaidirectory.com.au/review-meetgeek-australia-2026/).

## tl;dv

tl;dv has one of the most generous free plans in the category — unlimited recordings, unlimited transcripts and keyword search, free forever. The trap is in the fine print: full AI summaries are capped at ten for the lifetime of the account, not per month, and most users hit that wall within two weeks. After that, Pro is USD $18/user/month billed annually — about A$25\. Business, where the sales-intelligence features live, is USD $39/user/month or USD $29 billed annually — about A$41 ex-GST — after tl;dv cut it from USD $98 and USD $59 in September 2026.

**The catch:** the Australian fit is the weakest in this roundup, at 1/5\. Data lives in Europe with no Australian region, billing is USD-only, tl;dv does not collect Australian GST (a registered business self-assesses under the reverse-charge rules), and support runs on European hours — a question lodged late Friday Sydney time may wait until Monday.

For a sole trader who just wants searchable transcripts, the free plan is worth installing. For legal, finance, health or government work, it is a risk, not a shortcut. Score: **14/25** (Australian Fit 1/5).

→ Read the full [**tl;dv review**](https://www.theaidirectory.com.au/review-tldv-australia-2026/).

## The rest of the field

Three more tools earn a mention without changing the podium. [**Grain**](https://www.theaidirectory.com.au/review-grain-australia-2026/) (16/25) nails shareable video clips of meeting moments, but its free plan stops every recording at 45 minutes and keeps only 30 days of history, and it is USD-only and US-hosted. [**Sembly AI**](https://www.theaidirectory.com.au/review-sembly-ai-australia-2026/) (16/25) goes beyond notes to draft documents from your meetings, but there is no free plan and the cheap tier is single-seat. [**Avoma**](https://www.theaidirectory.com.au/review-avoma-australia-2026/) (14/25) bundles transcription, scheduling and CRM sync for sales teams, but the headline USD $19/month inflates fast once you add the features that make it worth using.

---

## How to choose

Start with the two things that actually separate these tools for an Australian buyer. Capability is a tie-breaker, not the first question.

**First, data residency — where do your recordings and transcripts live?** Every tool in this roundup stores your data offshore: Fathom, Fireflies and Otter in the United States, Notta on AWS in Tokyo. Granola is the exception that proves the rule — it never stores audio at all, though your notes still sync to its servers. If you are in legal, health, finance or government, or you have a client contract that demands onshore storage, none of these clears the bar out of the box. That is a hard stop, not a preference.

**Second, recording-consent law.** Australia does not have one rule — it varies by state. New South Wales, Queensland and South Australia broadly allow a participant to record a conversation they are part of. But Victoria, Western Australia, Tasmania, the ACT and the Northern Territory lean toward **all-party consent** — everyone on the call needs to agree. A bot that silently joins your Melbourne or Perth call is a compliance problem you own, not the vendor. Get a verbal "I'm recording this with an AI notetaker, any objections?" on the record at the top of every call.

Only after those two should you weigh price, GST and features:

**If you want the best free option:** Go with **Fathom**. Unlimited recording and transcription at no cost, and you can upgrade later.

**If you take your own calls and care about privacy:** Go with **Granola**. No bot, no stored audio — the cleanest consent and residency story here.

**If you run multilingual meetings:** Go with **Notta** — its 58-language transcription outpaces the field; just note the offshore (Tokyo) data and USD-only billing.

**If you want the cheapest paid all-rounder:** Go with **Fireflies.ai**.

One more thing on GST. None of these vendors issues an Australian tax invoice with an ABN. Some add GST at checkout on the AUD-converted price; others do not. If your bookkeeper needs a compliant tax invoice for the BAS, you will likely be claiming these as an overseas supply — check with your accountant before you assume the GST credit.

## Our top pick

**If you run on Zoom:** [**Zoom AI Companion**](https://www.theaidirectory.com.au/review-zoom-ai-companion-australia-2026/) **is now our Top Pick — the first tool in this category to clear our Australian Fit gate.**

When we first published this roundup, no tool earned the badge. The AI Directory has a rule (we call it the Australian Fit gate): the category Top Pick must score at least **4/5 on Australian Fit** — onshore data residency, AUD billing with a GST-compliant tax invoice, and a consent posture that respects all-party-consent states. Every dedicated third-party notetaker we tested scored **2/5**, so the badge stayed in the drawer.

That changed in June 2026\. [**Zoom AI Companion**](https://www.theaidirectory.com.au/review-zoom-ai-companion-australia-2026/) **scores 22/25 with Australian Fit 5/5** — the first tool here to clear the gate, and it does so precisely on the points the others fail. It's the meeting platform itself rather than a third-party bot joining your call: it offers genuine Australian data residency (Zoom's ZM+ option is available in Australia), doesn't train its models on your meeting content, and rides on a Zoom Workplace plan billed in Australian dollars. For the many Australian businesses already on paid Zoom, the agentic AI Companion 3.0 is included at no extra cost — which makes it both the best-fitting and the best-value pick in the category. (One caveat to read first: Zoom's separate "ZoomMate" autonomous tier is not yet sold in Australia — the [full review](https://www.theaidirectory.com.au/review-zoom-ai-companion-australia-2026/) explains the split.)

**If you're not a Zoom shop** — you run on Teams or Google Meet, or you want a dedicated cross-platform notetaker — then among the five tools tested below, none clears the Australian Fit gate, and you're choosing the trade-off you can live with: US storage, USD billing, and a consent risk you manage yourself.

**Best on merit for the free tier: Fathom (19/25).** It has the only genuinely unlimited free tier here, and if you have no onshore-data obligation and you will manage consent yourself, it is the one we would reach for first. Two things to understand. You are accepting US storage, USD billing and no ABN invoice. And since 21 September 2026 Fathom no longer holds the highest raw score in this roundup — its Value for Money was corrected from 5/5 to 4/5 for exactly that USD-only billing, taking it to 19/25\. **Zoom AI Companion now leads on both counts: 20/25 and the only Australian Fit that clears the gate.**

**Runner-up on merit: Granola (18/25).** Where Fathom wins on price, Granola wins on privacy. It never stores audio, which is the closest thing to a clean residency story in this field. If you take your own calls on a laptop and a sensitive conversation is on the line, Granola is the better pick despite the lower total.

The honest summary: this is a category full of capable products and weak Australian fit. Pick the one whose specific trade-off you can live with — and own your consent process yourself.

Update history
- **1 Oct 2026** — **tl;dv's Business plan is now US$39 a user a month, or US$29 billed annually (about A$41 ex-GST), down from US$98 and US$59.** Read on `tldv.io/app/pricing` from an Australian connection on 30 September 2026 ([Wayback](https://web.archive.org/web/20260930064618/https://tldv.io/app/pricing/)); the tl;dv review and the tl;dv vs Fathom comparison were updated that day, this roundup a day later. The tl;dv section below now states the Business price; Pro (US$18 annual) and the quick-pick row are unchanged, and tl;dv's score holds at 14/25\. The GST line was also aligned with the review: tl;dv does not collect Australian GST, rather than "unconfirmed".
- **29 Jul 2026** — Refreshed with the tools reviewed since June: Krisp, Grain, MeetGeek, Sembly AI, Avoma and tl;dv.
- **3 Jun 2026** — First published.

## Frequently asked questions

**Q: Are these AI notetakers available in Australia?** A: Yes, all five work fine in Australia and support Zoom, Teams and Google Meet. The catch is not availability — it is that all of them store data offshore and bill in USD with no Australian tax invoice.

**Q: Is it legal to use an AI notetaker on a call in Australia?** A: It depends on your state. NSW, QLD and SA broadly allow a participant to record their own conversation. VIC, WA, TAS, ACT and NT lean toward all-party consent, so everyone needs to agree. Announce that you are recording with an AI tool at the start of every call, and get a clear yes.

**Q: Do any of them store my data in Australia?** A: No. Fathom, Fireflies and Otter store in the US; Notta on AWS in Tokyo. Granola does not store audio at all, but your notes still sync to its servers. There is no onshore residency option on standard plans.

**Q: Will I get a GST tax invoice with an ABN?** A: No vendor here issues an Australian tax invoice with an ABN. Some add GST at checkout on the AUD-converted price, some do not. Treat these as overseas supplies and check the GST treatment with your accountant.

**Q: Which one is safest for sensitive or confidential meetings?** A: Granola, because it never stores the audio recording. That said, if a contract or regulator requires onshore data residency, none of these five tools meets that requirement — you would need an enterprise arrangement or an Australian-hosted alternative.
